Who we are
The Independent Electricity System Operator (IESO) works at the centre of the province’s power system, ensuring Ontarians have access to reliable and cost-effective electricity when and where they need it. We operate the province’s electricity grid 24/7, design, run and oversee the wholesale electricity markets, and plan and prepare to meet Ontario’s electricity needs – now and into the future.
The Opportunity:
The Business Support Specialist, as part of the Governance, Performance and Strategy team, provides full administrative and legal clerical support to the senior management of the business unit and the VP. This position plays a key role in managing administrative tasks, providing legal clerical support, handling and maintaining confidential information, coordinating communication and prioritization of work, and responding to issues as they arise.
What you'll do
The Business Support Specialist, as part of the Governance, Performance and Strategy team within the Market Assessment and Compliance business unit, provides full administrative and legal clerical support to senior management and the VP of the business unit. This position coordinates functions such as:
Preparation of correspondence and reports including that of a highly confidential nature such as legal documents (notices, letters, etc.).
High level support and assistance to senior management, including preparation of various confidential or classified documents such as legal correspondence and Board correspondence
Record and monitor court and mediation/arbitration appearance dates, pleadings and filing requirements, and filings of proceedings with mediators, arbitrators, agencies and courts
Compose and prepare various confidential correspondence, notices, letters, reports and presentations. Re-formatting documents to ensure adherence to corporate communication standards
Route and track correspondence and documents for signature and approval as requested (e.g. contracts; agreements, reports; directives; policies; instructions; budgets), ensuring deadlines are met
Research issues, gather and summarize data, statistics or information (for example, similar procedures in other jurisdictions)
Process inquiries from members of the general public or external organizations
Provide input and take minutes of business unit meetings, organizing meeting agendas (including items relating to legal procedures).
May be required to monitor the relevant portion of the company website to ensure it is up-to-date and drafting of routine web text. Co-ordinate the posting of material on the website.
Preparation of legal materials
Send and receive and date all legal correspondence; ensure it is routed to the appropriate recipient to meet time-sensitive deadlines
Prepare legal documents, including legal briefs and other packages of documents required to be assembled and prepared to support our legal processes, such as investigations and dispute resolution.
Attend and take minutes of interviews with witnesses for evidentiary purposes
Assist VP of MACD in the preparation and coordination of hearings and trials
Maintain schedules, arrange meetings, and make travel arrangements.

Support with maintaining appointment calendars, scheduling appointments, track litigation and dispute resolution dates
Make travel arrangements for meetings and conferences as needed
Anticipate and initiate appropriate action to conserve time commitments of the business unit senior management team. Prioritize work demands and assignments from various staff
Organize business-unit wide meetings, liaise with external facility providers for off-site meetings if necessary
Filing and routing materials, correspondence and incoming mail in accordance with prescribed evidence and record management guidelines
Extracting files and documents to meet needs, preparation of binders and files
Maintaining retention schedules, monitoring disposition schedules and controlling confidentiality of documents, correspondence, and other records
Set up and maintain records areas, including for the exclusive use of VP of MACD, executing frequent records-clean up. On own initiative make improvements and revisions to the record centre’s physical arrangements and filing indices.
Compiling training information and maintaining training databases
Filing and maintaining confidential documentation such, Board of Directors items, etc.
As directed, communicate work priorities to Business Unit staff to support the timely completion of projects.
Consolidate work projects status and provide general assistance as needed
Initiate follow-up actions or communication to staff
Provide updates regarding the status of various projects, work or activities to ensure target dates are met
Following-up with various stakeholders (e.g. government agencies; Ontario Ministries, Ontario Energy Board; etc.) on various matters.
Budget Administration, Financial Management, and space Co-ordination
Co-ordinate preparation of the Business Unit budget
Verification and processing of invoices, and purchase requisitions
Compile, review and verification of monthly credit card reconciliation
Review and verification of credit card reconciliations completed by staff prior to approval
Confirming that account distributions are correct and charged to the appropriate work package
Co-ordinate space requirements for the business unit to ensure space and service facility requirements are met. Attend meetings to represent the Business Unit on issues related to space planning and accommodation and ensure Business Unit interests are represented.
Recommend and ensure the implementation of office administrative procedures across various organizational units within a department/division (including the review, evaluation, recommendation and implementation of new procedures).
Plan and arrange for the acquisition of administrative and office services. Order specialty office supplies, courier, and other as requested.

The IESO offers a hybrid work model program to most of our employees, based on business needs. Individuals participating in the program can work an average of three days per week remotely within Ontario. It also offers three flex weeks when individuals can work remotely within Ontario . When working in the office, you will be located at our Mississauga, Toronto, or Oakville location.
