We are seeking a highly organized and dependable Administrative Assistant to support the daily operations of our busy shipping office within the distribution center. This role is ideal for someone who thrives in a fast-paced environment, enjoys detail-oriented work, and values being a part of a team that helps keep product moving on time. This is a 6-month contract role. Responsibilities Shipping & Logistics Support Prepare and process shipping documents including BOLs, packing slips, and customs paperwork Communicate with carriers, vendors, and warehouse teams to coordinate outbound shipments Track and trace shipments; provide updates as needed to internal stakeholders Schedule pick-ups and delivery appointments with carriers Maintain shipping records and ensure documentation accuracy Support problem resolution for shipment delays or discrepancies Administrative & Office Coordination Manage data entry and update databases and logs related to inventory, orders, and shipping activity Answer phones and respond to shipping-related inquiries in a timely and professional manner Prepare reports and shipping summaries for leadership as required Support inventory counts and cycle audits with documentation support Maintain office and shipping supplies inventory Ensure office equipment is functioning and coordinate maintenance when necessary Compliance & Recordkeeping Ensure all shipping activities meet company policies and government regulations File and retain shipping and compliance documentation in line with retention requirements Assist in internal or external audits related to shipping and logistics Report and document any discrepancies or incidents involving shipments Qualifications Requirements 1–2 years of experience in an administrative or logistics support role Strong computer skills, including Microsoft Office (Excel, Outlook, Word) Comfortable working in a warehouse or distribution center environment Excellent communication skills, both written and verbal Detail-oriented with strong organizational and time management skills Preferred Previous experience in a shipping office, distribution center, or logistics company Familiarity with ERP systems, TMS platforms, or shipping software Knowledge of shipping documentation Offer Competitive wage: $22 to $25 per hour, commensurate with experience A supportive, team-oriented work environment An opportunity to learn about the world of wine We are committed to establishing a qualified workforce that reflects the diverse population it serves and we encourage applications from all qualified individuals.
