About the Opportunity
Reporting to the Principal Investigator (PI) and under the direction of the Research Coordinator and Research Manager, the Administrative Assistant provides administrative support for the Maritime Heart Center (MHC) Research Group. The MHC Research Group consists of approximately 25 staff who support clinical trials and research projects for Cardiologists, Vascular Surgeons, and Cardiac Surgeons, as well as fellows, residents, students and Affiliate Scientists. The Administrative Assistant works within a collaborative Research Team environment with the Research Coordinators, Research Assistants and Project Management staff to support the coordination of research projects within the group. This includes routine correspondence with patients, clinical care teams and the Research Ethics Board (REB), and the tracking of study documents including contracts, finances and regulatory materials. The Administrative Assistant will schedule meetings and take minutes for distribution, order and monitor supplies, facilitate work orders and submit purchase orders for research staff.
We are currently seeking a Research Administrative Assistant to support our dynamic research team within a hospital environment. The ideal candidate will have prior experience working in a health care or academic research setting and will bring strong organizational skills, attention to detail, and the ability to adapt to shifting priorities in a fast-paced environment.
The successful candidate will demonstrate excellent interpersonal and communication skills, thrive in a collaborative, multidisciplinary team, and effectively manage multiple tasks and timelines. Experience in financial coordination or research-related financial management is considered an asset.
About You
We would love to hear from you if you have the following:
- Grade 12
- Completion of a recognized Secretarial/Business program
- Proficiency in MS Office (Word, Access, Excel, PowerPoint), internet and email
- Experience in a research or healthcare setting
- Familiarity with handling financial reporting and tracking
- Demonstrated knowledge of office practices and procedures
- Ability to draft, format and edit office correspondence
- Effective communication, customer service, problem solving and decision making skills
- Well developed organizational, time management and daily planning skills
- Ability to work well independently as well as within a multi-disciplinary team environment
- Competencies in other languages an asset, French preferred

- Long Assignment, Full-Time / 75 Hours Bi-weekly

Compensation and Benefits
$25.63 - $32.24 Hourly
