Job Description Summary To develop, coordinate, execute and lead the Faculty of Applied Science s alumni engagement program and strategies. The incumbent will lead and manage priority alumni relationships throughout the province, advancing the Faculty of Applied Science s strategic goals through building relationships and enriching the lives of alumni. The optimal goal is development of a lifelong relationship between the Faculty of Applied Science and its alumni. Working in collaboration with the Faculty of Applied Science Dean s Office, the Development Office, Faculty Affairs, and alumni UBC, the incumbent identifies, cultivates and stewards relationships with key alumni leaders that may include leveraging existing alumni and institutional relationships, identifying volunteer opportunities to engage alumni, identifying opportunities for clinical faculty recruitment and engagement, building connections to respond to alumni interests, engaging academic units and facilitating fundraising opportunities as appropriate. This position requires a thorough knowledge of the activities undertaken by alumni UBC, as well as knowledge of the Faculty of Applied Science and University policies and procedures. Organizational Status Reports to: Assistant Dean, Development and Alumni Engagement and the Director, alumni UBC. Works with: This position is a member of the Faculty Dean s Office - Development Unit, and works closely with the Faculty, staff and student leadership; Faculty Advisory Committees; student and alumni groups representing the Faculty which include: School of Nursing; School of Architecture and Landscape Architecture; School of Community and Regional Planning; Engineering and UBCO Engineering; as well as colleagues in the Office of alumni UBC. May involve the President s Office, Vice-Presidential Offices, Ceremonies, Public Affairs, and other senior administrators, as appropriate. Contacts: Alumni, volunteers, donors, faculty, students, external community, professional organizations, and government agencies Work Performed - Works in partnership with the Faculty of Applied Science Advancement team and alumni UBC to facilitate strategic alumni relationships to maximize student, alumni and community engagement and support for the Faculty. - Develops and implements a comprehensive plan for identifying, cultivating, engaging, and stewarding high-level student and alumni leaders. - Develops and implements strategies to identify alumni needs, attitudes and feelings toward the Faculty and connect them with appropriate opportunities and partnerships within the University. - Ensures appropriate recognition, acknowledgment and stewardship programs are implemented for identified student, alumni and community leaders. - Develops and implements a program of assessment and evaluation to monitor and measure progress. - Assists in developing a comprehensive plan for identifying, cultivating, engaging and soliciting donations in support of the Faculty. - Maintains accurate information management of alumni. - Performs other related duties as required. MAJOR RESPONSIBILITIES 1. Strategic Alumni and Community Relations - Develops strategic plans, in collaboration with faculty and university partners, to leverage alumni and community engagement, knowledge of alumni, interaction with students, alumni networks and strengthen faculty partnerships with identified priority alumni communities. - Identifies and builds connections with individual alumni and community connectors to develop and implement a comprehensive strategy to mobilize alumni to be Faculty of Applied Science ambassadors and build networks. - Develops and maintains external relationships that contribute to strategic alumni relationship management, including those with professional organizations, government agencies and officials, and community organizations. - Identifies opportunities with strategic internal and external communities to build relationships of institutional value and engage high-level alumni to advance those relationships within these communities. - Plans and executes a series of high impact events with strategic communities to expand the portfolio of connectors and develop strategic partnerships for the faculty, with the support of our alumni leaders. - Manages a portfolio and provides excellent customer service and support to the many, complex stakeholders within the Faculty of Applied Science. 2. Volunteer Management - Supports the efforts of volunteers in the Faculty of Applied Science in their work building community alumni and providing support to current students. - Assists the Faculty in growing the base of engaged volunteers and ensuring that their activities are strategic, sustainable, and aligned with institutional priorities. - Assists in building volunteer capacity with the Faculty s schools and departments to build community among its alumni and students. 3. Student Relations - Connects students with alumni, celebrating student success, and leveraging existing student affinity and leadership groups. 4. Communications - Develops and manages communications with strategic communities to respond to anticipated and articulated needs and to share information of value with senior administration. - Articulates Faculty aspirations and needs to the alumni UBC group to ensure alignment and maximum impact of resource investments. - Maintains accurate alumni profiles and program information in the University s database in a timely, accurate and appropriate manner. - Liaises and communicates strategic advice and information with Development professionals and senior administration to inform decision-making, encourage dialogue, and for curriculum and program improvement. - Develops and executes a strategic alumni relations communications plan. - Works with the Faculty of Applied Science Communications team on Ingenuity magazine to provide appropriate alumni profiles/stories. - Initiates and produces an alumni e-newsletter for each of the different schools with articles of interest across all areas of the Faculty of Applied Science. - Regularly reviews and ensures current and engaging information on the Faculty of Applied Science Alumni website. 5. Event Management - Plans and executes a series of high impact events associated with milestone events and activities - Proactively anticipates strategic institutional and faculty milestones and integrates these activities into a strategic alumni management strategy. 6. Fundraising - Works closely with the Faculty s Development staff to advise on donor engagement strategies for alumni donors. - Works with the Development staff, advises on plans to cultivate prospective major and planned giving donors. - Works closely with Assistant Dean, ensures plans and strategies are well integrated with overall development plans. - Other duties as required. Consequence of Error/Judgement The incumbent will oversee many of the Faculty of Applied Science s most visible interactions with alumni, thus errors in judgment could have far-reaching and long-term financial and non-financial consequences. For example, the incumbent will help identify and nurture relationships with influential alumni who may be approached by the Faculty of Applied Science for key leadership roles. University degree in a relevant discipline.Minimum of five years experience, experience in fundraising, alumni relations, advancement experience or the equivalent combination of education and experience. Experience at a post-secondary education institution, including significant alumni relations and/or advancement experience. Experience in budget development and control required. People management experience. Proven leadership abilities. Fundraising experience (annual appeals) would be an asset. Experience in program development, delivery, and management. Experience in strategic planning, implementation, and communications. Excellent interpersonal and relationship-building skills. Outstanding verbal and written communication skills. Ability to manage multiple priorities, complex tasks, and to meet deadlines. Ability to effectively manage time and to work will under pressure. Excellent attention to detail.
