Post End Date: June 15, 2025 at 11:59 PM This job advertisement is to fill an existing vacancy in the Administrative Professional (Employee Group) About the Role: Reporting to the University Secretary & Associate Vice-President, Governance & Policy, the Associate Secretary to the University plays a key leadership role within the Office of the University Secretariat. This position is primarily responsible for the effective and timely operation of the Senate and its committees, supporting the academic governance functions of the University. The Associate Secretary works in close collaboration with the other Associate Secretary to the University and oversees the Assistant University Secretary, contributing to a high-performing team environment. In addition to managing Senate operations, the Associate Secretary supports governance research, policy development, and the provision of expert advice on governance matters. The role also facilitates the delivery of high-quality governance services to Senators, Trustees, senior administrators, and other members of the University community in alignment with the Secretariat’s mandate. The Associate Secretary to the University will: Provide support and advice to the Board of Trustees, the Senate and associated Committees as assigned; Draft and finalize agendas, minutes, reports, Board briefs, Senate briefs, memoranda, background and reference materials within tight deadlines; Organize and facilitate meetings of the Board, Senate and the various Committees and for ensuring parliamentary procedures are followed during meetings; Maintain official records of governance bodies and official records of all decisions made by the Board of Trustees and Senate and ensures that these records are complete, accurate and appropriately accessible; Manage the steps necessary for implementation of changes to University policy emanating from decisions made at Senate and the Board of Trustees; Conduct research on issues under the purview of the University Secretariat Office, developing background materials and advisory documents; Research, assemble and offer analysis relative to quantitative and qualitative information necessary for the informed consideration of the governing bodies; Keep Committee Chairs apprised of developments associated with agenda plan, relevant policy/procedural changes and implications, and other related matters; Inform the University Secretary and/or other members of the Senior Administration of emerging issues and provides advice on how these issues should be managed; Participate in professional organizations and conferences related to university governance. Key Skills and Experience: An undergraduate degree in a relevant discipline or the equivalent combination of education and experience would be considered; Experience with governance structures, ideally within a university setting and knowledge of parliamentary procedures; Broad experience with various sectors within a university or similar publicly supported organization; Strong judgment, research, problem-solving, and communication skills (written and oral); Tactful, diplomatic, and adaptable, with a commitment to confidentiality; Proficient with standard office software and project management tools; Advanced research, critical thinking, and writing skills; Independent thinker and decision-maker; Promotes and embodies inclusivity and respect within the workplace and the broader community. Preferred or Asset Skills: Certified Member of the National Association of Parliamentarians.
