Commissionaires Nova Scotia (CNS), winner of the 2024 Halifax Chamber of Commerce “Not-For-Profit Business of the Year”, is at the forefront of providing security services throughout the province and is seeking a coordinator to support our Operations team. In your role as an Operations Support Coordinator, you will play an important part in continuing to help CNS deliver excellent security solutions to our clients. This role will provide day-to-day support to our Operations Teams, and assist them in being organized, informed, and prepared.
Based out of our Head Office in Bedford, you will have exemplary time management skills and the ability to be proactive in anticipating your stakeholders' needs. Success in this role hinges on providing exceptional administrative support, and you’ll be expected to handle highly sensitive and confidential financial, legal, personnel, and institutional information while exercising a high degree of professionalism and discretion.

This position requires an individual who is hands-on, has a strong work ethic, proven administrative experience with a track record of supporting an operational team.

Duties and Responsibilities
Provides administrative support to our District Managers and Operational Supervisors.
In conjunction with District Managers: reviews, updates and writes CNS policies for work sites (SWI’s) and assists in the coordination and distribution of internal publications and policies.
Attends Operational meetings, taking notes and producing meeting minutes in a timely manner.
Assists District Managers with timesheets, payroll, Security Clearance applications and special licenses (MTSC, RAIC).
Assist Operational staff by recording and filing of personnel files related to site transfers, change of status, request for leave and time off. (COS, LOA and 101).
Supports internal needs of all departments as required.
Assists in setting up for presentations / meeting preparations and meeting management.
Creates, implements, and maintains processes for document capture and data management.
Acts as administrator for CNS's Honours, Awards & Recognition program.
Ad Hoc administration duties and research projects as requested.
ISO Audit, Insurance and Special Responsibilities
Manages the administration of the CNS Insurance Program, which includes MVA and ADD programs and all claims.
Manages and maintains the insurance portfolio to ensure coverage is current and adequate to meet corporate needs.
Assists Corporate office staff on Insurance and legal impacts as they relate to the policy
Manages the administration of the CNS ISO Audit process, with a focus on Audit Service Delivery within Operations.
Works with outside organizations such as Halifax Regional Municipality Parking for Special Constable applications, and various municipalities within Nova Scotia.
Other additional and/or alternative projects as assigned.
THE ROLE
Salary: $60,000 - $65,000
Working Hours: 0800 to 1600hrs Monday to Friday, some overtime, and travel across Nova Scotia, may be required.

QUALIFICATIONS
Candidates must:
Be eligible to achieve a Government of Canada personnel security screening
Education: (Minimum Required): Bachelor’s degree desirable or an acceptable equivalent of education and experience.
Skills and Abilities: (Minimum Required)
5 years of experience in administration / coordination roles, or stakeholder management, or security management
Extremely professional/discreet with strong written and verbal communication skills
Highly proactive in nature and with advanced organizational skills
Strong administrative skills with the ability to multitask
Excellent time-management skills
Highly collaborative with strong relationship-building skills
Professional / Technical Knowledge:
(Minimum Required): Strong MS Office computer skills are required.
(Desired): Be able to understand insurance law and best practices.
Be able to apply and understand bylaws as they pertain to processing special constables.
Experience in the security industry would be considered an asset
