Key Responsibilities
Performs all duties and responsibilities in accordance with Tla’amin laws, regulations, policies, practices, and procedures as directed by the Position. Maintains confidentiality as required pertaining to citizens, clients, employees, and general matters of the Nation.
We are seeking a friendly, organized, and professional Receptionist to join our team at a busy health centre. As the first point of contact for patients and visitors, you will play a key role in creating a welcoming and efficient environment. The Receptionist works under the direction of the Health Director as well supports the Primary Care and Mental Health Teams in a variety of administrative and scheduling functions.
Greet clients and visitors in a courteous and professional manner
Manage the ordering of supplies for all staff and ensure accurate processing of related invoices
Answer and direct phone calls, take messages, and respond to inquiries
Schedule and confirm appointments using electronic software (Active Agenda)
Collaborate closely with all staff to ensure efficient and seamless clinical operations.
Perform general administrative duties such as filing, scanning and mail
Responds to inquiries related to scheduling, client schedules for Primary Care & Mental Health team.
Support the coordination and adjustment of daily and weekly schedules for the Primary Care and Mental Health teams, as needed
Supports the scheduling of health vehicles and patient travel directed by the Primary Care Team
Working knowledge of Tla’amin First Nation community resources as well as the qathet region
Monitor, implement and maintain office equipment
Monitor, implement and maintain general office procedures, forms
Performs other related duties as required
Qualifications
Experience with Microsoft office package (word, excel, outlook power point)
Minimum Grade 12 or equivalent education
Good organization and time management skills
Ability to work independently or as a team member
Knowledge of office equipment
First Aid and CPR or willingness to obtain
Class 5 Driver’s License and a Successful Driver’s Abstract
Successful recent Criminal Record Check
Knowledge, Skills, Abilities
Experience working directly with health care clients
Strong verbal and written communication skills
Experience coordinating, preparing, and adjusting client or caregiver appointments and schedules
Primary Care Understanding – familiarity of the work of the Home and Community Care team
Computer literacy working with Microsoft Office Package (Word, Excel, Outlook)
Training and signoff of privacy and confidentiality policies
Training in Active Agenda, Janeapp, Privacy and Security, Privacy and Confidentiality
Working Conditions
Work is performed primarily in an office environment.
