About the Role:
In this 12-month opportunity, the Advisor, Events, plays an important role leading, assisting, and supporting the implementation of internal and external corporate events for ATCO. The Advisor will contribute to the success of corporate, community, employee and customer special events and programs.
What You Get to Do:
Event Management
Develop creative ideas, concepts, and strategies to deliver innovative and inspirational events that support the ATCO brand
Ensure that overall project targets are met and contribute to business objectives and strategic priorities of ATCO
Engage senior management and key clients in the event planning process including production of guest lists, hosting duties and overall event goals and strategy
Liaise with ATCO management at various levels and a wide variety of internal and external clients
Coordinate venue management, caterers, contractors, and equipment hire
Handle client queries and troubleshoot on the day of the event to ensure that all runs smoothly
Liaise with clients and creative services to create event collateral, branding and décor
Directly and indirectly ensure post-event evaluation and budgeting (including tracking and compiling event statistics relevant to future decision making
Access, support and update departmental Salesforce as required
Procure and manage volunteers for events onsite
Support the Senior Advisor and/or Lead with the technical aspects of events to help strengthen relationships with our AV providers, ATCO’s internal IT Department, and their subcontractors
Assist the team in creating new Cvent invitations and providing reports to Team Leads on various registration details
Strategic Planning
Ensure rigorous and competitive pricing from agencies and vendors
Plan and manage project budgets within the given targets
Produce and facilitate detailed work plans for events which includes Executive briefs, timelines, guest lists, venues, suppliers, legal obligations, staffing and budgets
Ensure insurance, legal, health and safety obligations are adhered to
Ensure events align with ATCO’s strategic initiatives, goals and brand
Consultation and Best Practices
Work with all levels of ATCO employees to achieve a consistency of events throughout the business
Consult on events, gatherings, etc. throughout the business
Develop and provide templates, planning guides, vendor lists and best practices to ensure all events showcase the ATCO brand in accordance with its guidelines
Assist business units throughout the ATCO companies with event planning basics and guidance in a timely and efficient manner
Continue to work with executive levels to determine event preferences and best practices that can then be provided to additional levels of the company
What You Bring:
Post-secondary education in a related field
3-5 years of related experience
Well-developed project management skills, with a proven ability to manage multiple projects with multiple deadlines
Ability for continuous quality and process improvement
Flexibility to accommodate special event requirements outside of normal working hours
Excellent written and oral communication skills
Business acumen, strategic planning, negotiation skills, leadership, innovation and cultural sensitivity
Strong relationship management with internal/external stakeholders and partners
Superior relationship building and networking skills
Strong computer skills in Microsoft Office applications.
Experience with Cvent or similar program is a strong preference
Event Management Certificate would be considered an asset
