THE OPPORTUNITY The Administrative Assistant is one of five administrative assistants in the ISR department. The Administrative Assistant reports to the Executive Assistant (EA) to the Executive Vice President (EVP) of ISR. The Administrative Assistant provides support to the EA and backup administration to the EVP as needed. Additionally, the Administrative Assistant provides a variety of clerical, administrative, and support services to the Vice President, Total Fund Management (VP), and Vice President, Growth & Investment Solutions (VP). For specified duties such as department meetings and activities, the Administrative Assistant provides support for the broader ISR department. The Administrative Assistant must be able to function effectively with a demanding workload, the nature of which requires a high degree of accuracy and an eye for detail. The position serves as backup to the Executive Assistant and provides vacation and illness coverage for other administrative assistants in ISR. WHO YOU WILL WORK WITH The Investment Strategy & Risk (ISR) department plays a key role in setting, implementing, executing, and monitoring the long-term strategies of BCI’s clients. This is accomplished by working with clients, management and asset classes to define the optimal path to achieve clients’ outcomes and enabling BCI’s investment structures and processes necessary to fulfill these outcomes. ISR consists of five branches: Strategic Asset Allocation, Total Fund Management, Investment Risk, Growth & Investment Solutions, and Client Partnerships. WHAT YOU BRING Must have: 3+ years’ experience providing administrative support in a corporate office environment A service-oriented mindset, strong work ethic, and ability to manage a high volume of priorities and deadlines A professional and discreet manner, applying sound judgment and diplomacy at all times Ability to work in a team environment and take direction from multiple stakeholders, along with the ability to work independently Proficiency in Microsoft Office, SharePoint Online, and Adobe Acrobat Excellent organizational skills and a positive attitude towards change Excellent verbal and written communication skills with professional telephone manner Preferred: A related diploma in business administration or an office administration certificate WHAT YOU WILL DO Manage the VPs’ calendars and email inboxes Organize and prepare documents for VP participation at BCI board and client meetings, internal meetings, and industry associations Handle travel arrangements, including preparing approval requests, booking flights and hotels, and managing insurance and visa requirements when necessary Reconcile monthly spending related to department travel and business expenses, and prepare employee expense claims as required Coordinate all aspects of internal and external meetings and functions, including agendas, guest registration, facility and refreshments bookings, and technology requirements Provide ongoing administrative support to the Total Fund Management Team Assist with the coordination of interviews and employee onboarding, including seating arrangements, and training materials Provide general clerical services to the ISR department including printing, photocopying, formatting, scanning, records management and ad hoc requests, treating all information in confidence Assist with planning and coordination of teambuilding activities and social events for the Total Fund Management team and ISR department Support the EA in managing departmental operations and handling monthly department invoices May be assigned other administrative tasks and assist with various projects as required WHERE YOU WILL WORK Work from our downtown Victoria office. We are an in-person collaborative organization with the flexibility to work remotely one day a week. SALARY RANGE The annualized base salary range for this Victoria-based role is CAD $60,000 - $67,000.
