POSITION OVERVIEW
Reporting to the Chair, the Director of Administration provides leadership and strategic input and recommendations for the business administration activities and ensures the efficient and effective strategic management of the Department’s resources. The incumbent oversees the delivery of administrative services and the development, implementation and evaluation of strategic short- and long-term administrative plans that support the mission and vision of the Department through subordinate unit managers. These administrative services include: Finance, Human Resources, Facility Operations and Services, Labs and Space Management, Student Services, Renovation Project management, and Information Technology arrangement for administrative purposes. The Department has revenue-generating programs and units that this position provides strategic guidance on, which requires financial and managerial skills beyond the usual departmental administration.
The Director, Administration is responsible for recommending, developing, and implementing excellent standards in the core administrative systems that support Faculty, Staff and Students in all areas in the Department. The Director, Administration represents the Department regarding Faculty-wide administrative practices, processes or policies. The Director, Administration also develops and maintains internal and external relations within the University and the broader community.
The incumbent provides strategic advice and policy interpretation to the Chair, faculty, staff and students on all matters related to immigration and working visas, and ensures the Department is in compliance with University policies and Government legislation.
QUALIFICATIONS
A minimum of seven (7) years of senior administrative, financial, and management experience from a large, complex and culturally diverse environment, preferably in higher education or a public sector organization. Experience in overseeing a significant administrative portfolio of finance, human resources, student services, facility operation and services, and space management. Experience with academic administration activities in an academic department or divisional unit. Experience with strategic financial planning, analysis, and developing and managing large complex budgets. Demonstrated analytical skills and strengths in complex budget modelling, forecasting, and administering accounting practices and principles. Solid experience in managing through non-unionized managers, preferably in a unionized environment. Demonstrated experience developing administrative procedures, building teams, and managing change. Experience handling immigration and/or relocation matters and applying relevant legislation and guidelines. Experience liaising with senior administrators, responding to and handling matters of a complex and sensitive nature. Experience administering complex financial and human resources policies, procedures and collective agreements; knowledge of relevant legislation; experience working with university policy preferred. Experience researching, analyzing, making recommendations, providing risk assessments and options.
Superb interpersonal, leadership, organizational and verbal and written communication skills with the ability to engage, secure support, commitment and results from others, all with proven experience in creating a positive working environment for staff. A consultative style with excellent listening skills; ability to make effective presentations; highly developed financial skills; demonstrated analytical and strategic planning abilities; proven effectiveness in the development of administrative systems. Thorough knowledge of management principles. Proven skills in developing and implementing objectives under competing priorities and defined timelines. Knowledge of University’s SAP based Administrative Management Systems (AMS) and related applications (FIS, HRIS) or equivalent. Strong computer skills with high level proficiency in Microsoft Office suite.
Demonstrated ability to work cooperatively in a dynamic and challenging environment that fosters teamwork and collegiality. Thorough knowledge of management principles; demonstrated analytical and strategic planning abilities and political acumen. Ability to deal tactfully and effectively with a wide range of stakeholders. Initiative and flexibility. Experience maintaining strict standards of confidentiality. Ability to sustain a professional demeanor in all aspects of the role, even when working under the pressure of multiple complex demands. Problem-solving capabilities. Ability to adapt to new technology. Ability to work independently and as a member of a team.
This role is currently eligible for a hybrid work arrangement, pursuant to the University policies and guidelines, including but not limited to the University of Toronto's Alternative Work Arrangements Guideline. Given the nature of the position, a significant degree of regular onsite presence is required.
