Position Description: The Leasing Administrative Assistant supports the Manager with a variety of building administration tasks such as screening applications, scheduling showings, and delivering exceptional customer service to both existing and prospective residents. The Leasing Administrative Assistant will work both independently and with the Property, responding to inquiries, maintaining records in Yardi, and assisting residents with RentCafe payments and submitting maintenance requests to maintain a high level of customer satisfaction.
Responsibilities:
Customer Service
Greet and interact with residents and prospects in a friendly and professional manner
Promote a welcoming atmosphere
Demonstrate excellent customer service and a "can-do" attitude
Attend to resident concerns and service requests within 24 hours
Follow up with residents to ensure a high level of customer satisfaction
Handle office administrative tasks, such as processing online applications, creating notices, managing lease renewals, and other duties related to support daily operations
Organize, promote and execute resident events (i.e. holiday parties and summer barbeques)
Leasing & Administration
Schedule property showings with prospects
Process leasing applications including completion of background and credit checks
Ensure rents are collected and deposited on a timely basis
Negotiate lease renewals in conjunction with established targets
Utilize Yardi to record transactions and run various operating reports
Conduct market surveys and analyze how the property compares to the current market
Recommend leasing rates and in-suite turnover work to the District Manager
Actively promote various referral programs to existing residents and prospects
Qualifications
Background in residential property management or related business experience (leasing apartments, selling condominiums and office administration)
Excellent written and verbal communication and interpersonal skills
Good working knowledge and ability to use computer software, Microsoft Word, Excel, Yardi and RentCafe
Display a professional/presentable appearance
Bilingualism English and French (applicable to Quebec only)
