The opportunity:
The Youth Quest program is looking for a Part-Time Administrative Assistant. The Administrative Assistant performs general office functions, contacts program participants, assists with marketing and completes data entry for the department.
In this role, you will:
Demonstrate strong support and commitment to serving the membership, facility users and all program participants of the YMCA of Simcoe/Muskoka.
Compose and distributed correspondence
Greet clients respectfully
Handles and distributes all communications
Inventory and orders office supplies
Maintain database and telephone lists of clients, volunteers and community organizations
Enter client data into databases; Maintains confidential information for program participants (contact information)
Distribute promotional material to community organizations
Maintains office equipment
Enter monthly hours for program staff; access to confidential pay information
Assists with financial and statistical reports from the internal and external databases as requested
Assists with quarterly narrative and statistical reporting
Contact clients when required to book appointments and follow up with their attendance
Adhere to all provincial and/ or federal legislation relevant to job description
You bring:
Relevant College diploma or equivalent work experience
Proficient with Microsoft Office programs (Word, Excel, PowerPoint, Access, Internet, Publisher)
Good written and oral communication skills with clients, community partners, staff, suppliers and volunteers
Sensitivity in dealing with members of different cultural and racial backgrounds, including visible and invisible dimensions of diversity
Some flexibility regarding schedules based on client needs
Ability to work in an efficient manner independently and as part of a team
Willingness to participate in mandated training to be completed before or shortly after commencement of work including:
AODA Training
Health & Safety Awareness Training
Bill 168 (Violence & Harassment in the Workplace) Training
PCI Compliance
WHMIS
Child Protection Training
