We are looking for a detail-oriented and technically skilled Grants Database Administrator to join our team and help ensure the accuracy, efficiency and effectiveness of our grants management operations.
This role is ideal for someone who enjoys working with data and reporting tools, is meticulous in their attention to detail and who wants to play a key role in supporting impactful philanthropic work. This person will be the go-to expert on our grants database and proprietary platform, supporting both technical administration and end-user training while also maintaining the integrity of our grants data and contributing to creating meaningful insights to guide our work. The role reports to the Vice President, Grants, and works closely with the entire Foundation Grants team and especially with the Specialist, Grants Data Management.
Position Summary
The Grants Database Administrator is responsible for managing and optimizing the Foundation’s grants management system, ensuring data integrity, reporting accuracy, and operational efficiency across the grantmaking lifecycle. This includes technical administration, system documentation, onboarding and training, as well as supporting the grantmaking team with prospect research and ongoing grant monitoring.
While we would ideally like someone who has experience with the database management, the primary skills we are looking for are: data entry and management, systems operation and a thorough appreciation of user interface, utility and attention to detail. The Grants Database we use is FLUXX, however, no direct experience with this system is required; the selected candidate will be trained on the system itself.
Key Responsibilities
Database Maintenance, Administration & Reporting
Working with the Specialist, Grants Data Management, the incumbent will:
Administer the grants management database including account access, system maintenance, issue resolution, and liaising with support team for our database platform
Perform regular system hygiene and clean-ups and audits weekly, monthly, and quarterly produce and analyze regular and ad hoc reports on grants data using Excel, Power BI, Power Query, and Grantelligence
Prepare regular monthly reports and facilitate related meetings
Create quarterly Board disbursement reports and declined grant lists
Generate custom reports and dashboards, as needed
Maintain clear and up-to-date documentation of all database-related administrative processes and procedures
Conduct onboarding and training for new staff and grantees on database usage
Develop and share onboarding materials including walkthroughs, cheat sheets, checklists, and best practices
Qualifications
Experience and Education
University degree or other relevant education in data management, information systems, computer science, business administration, or a related field
Minimum 2 years of experience in a data-focused role
Experience administering or managing database systems; experience with grants databases (e.g., Fluxx) is an asset
Experience in a nonprofit, philanthropic, or grantmaking environment is considered an advantage
Skills and Knowledge
Advanced Microsoft Excel skills, including pivot tables, XLOOKUP, VLOOKUP, and dashboard creation
Ability to pull, clean, and analyze data using tools like Excel, Power BI, and Power Query
Familiarity with JavaScript and MySQL is a plus
Strong attention to detail, data accuracy, and documentation practices
Ability to translate raw data into user-friendly reports and visualizations
Comfortable supporting users and teams with technical tools and systems
Strong written and verbal communication skills
