Description
Assist project managers with day-to-day administrative tasks related to active projects
Serve as a communication hub between superintendents, project managers, and contractors
Track project timelines, deliverables, and required documentation
Prepare, process, and track RFIs (Requests for Information) and submittals
Maintain organized digital records of all project-related documentation
Ensure timely submission of required paperwork to clients, subcontractors, and suppliers
Assist in material procurement by preparing purchase orders, verifying vendor quotes, and tracking deliveries
Coordinate with suppliers to confirm pricing, lead times, and order status
Utilize ProCore software to manage project documentation and updates (preferred)
Prepare, update, and analyze project data in Excel
Maintain accuracy of internal systems and databases
Manage schedules, meetings, and internal communications
Assist with reporting, follow-ups, and ensuring project compliance with requirements
Manage the submittal process for major projects, ensuring accuracy, completeness, and
timely delivery.
Coordinate with vendors, subcontractors, and internal teams to gather necessary
submittal documentation.
Work closely with estimators to assist in project bids.
Price out materials and equipment required for upcoming jobs.
Manage scheduling and delivery of materials and equipment based on project timelines.
Track material and equipment milestones and communicate updates to project
managers and stakeholders.
Gain proficiency with Procore to manage documentation, procurement, and scheduling
tasks.
Maintain detailed and organized records using Excel and other tools as required.
Assist or manage changeover processes during project transitions.
Coordinate across departments to ensure smooth project execution.
Hard Requirements:
Minimum 2-3 years of experience in the construction industry
Strong background in project management support
Hands-on experience preparing and managing RFIs and submittals
Excellent communication and coordination skills
Proficiency in Microsoft Excel and general office software
High attention to detail and ability to work independently
Experience with procurement in a construction setting
Knowledge of ProCore construction management software is a plus
Familiarity with federal/government contracting requirements
Schedule:
40 hours per week
Monday to Friday
7AM–4PM US Pacific Standard Time
Offer and Benefits:
$6-$8USD/hour
