MANAGER OF BENEFITS - TERM Role Who is a Manager of Benefits? The Manager of Benefits oversees a team who administers the Group Benefits programs in collaboration with a third-party administrator, and leads all functions related to the management and administration of Group Benefits Plans focusing on benefits program design, management, analysis and communication. This role partners with leaders on the People Team, brokers and carriers to achieve the objectives of the business and meet Associates’ needs. Additionally, the Manager evaluates the existing benefits programs against peer organizations to determine competitiveness, trends and developments. What will you be doing? Manages direct reports and the people requirements of the Department/Team using provided tools and resources to ensure the successful execution of all key responsibilities and tasks, retention of great talent, and high Associate engagement. Facilitates recruitment of direct reports alongside the Talent Acquisition Department to ensure adequate resourcing based on approved Department/Team budget. Leads the onboarding, coaching, learning, development, and performance management of all direct reports to ensure a positive and safe working experience. Manages the administration of all health and welfare programs including Group Benefits (Life insurance, LTD, Extended Health, Dental, provincial replacement coverage) by collaborating with external vendors, brokers, and third-party administrators to enable their accurate provision of entitlements in accordance with the Benefits Plan Policy Builds, modifies and oversees the administration of company policies, processes and systems that facilitate coordination with vendors including initial enrolment, coverage updates and terminations, Life Events, volume of LTD benefit coverage, dependent processes, premium rate changes, and notifications to provider, monthly payments/remittances reconciliations, and processing of Life and LTD claims Collaborates with the Associate Relations Team on the in-house administration of the Leave of Absence process for all employee groups ensuring leave of absence administration is managed in accordance with organizational policies, applicable laws, and benefit programs Collaborates with leaders in other People departments in the on-going design, monitoring and modification of non-cash compensation programs that round out our Total Rewards and Associate Value Proposition Analyzes internal (e.g., workforce demographics and preferences, usage patterns, cost effectiveness, total reward mix) and external (e.g., changes in legislation, tax status, social programs, market trends) influences on an ongoing basis, identifies risks and opportunities, and prepares and presents proposals for modifications in plan design for review by Senior Management Monitors effectiveness of program changes in achieving desired outcomes (e.g., cost effectiveness, Associate perception), and recommends and/or executes on further modifications to realize results Collaborates with Finance, senior leaders, and broker to identify optimal funding and underwriting arrangements Collaborates on the Request for Proposal (RFP) process for changes to benefits, programs, carriers, vendors or partners Spearheads the development and oversee the execution of a comprehensive communication plan, leveraging the support of in-house specialists, to enhance Associate appreciation and understanding of the plan and related processes, including both employment (e.g., eligibility, wage changes, promotions) and needs (illness, disability, death, termination of employment) centered events, using a variety of media in keeping with our overarching strategy. Collaborates on the implementation of a new HR/Payroll system (Workday), and acts as the primary contact and decision maker for defining requirements, building out Benefit processes, and testing configuration changes to ensure the system’s configuration allows for accurate and compliant administration and identifying and rectifying issues Evaluates and tests the system and ongoing releases/updates on an ongoing basis to ensure functionality achieves requirements Ensures appropriate controls are in place to maintain system security, e.g., requests that access be granted or restricted as needed Train and educate the Benefits team on processes within the application on an ongoing basis; cooperate with other teams to ensure understanding of requirements Oversee the audit of data on the HR/Payroll system (Workday) Do you have what it takes?
