Associate Coordinator, Pharmacy Services
Mohawk Medbuy Corporation (MMC) is a national, not-for-profit, shared services organization that supports hundreds of health care providers across Canada, as well as child welfare agencies and other public sector organizations. MMC provides value-driven contracting and procurement solutions for medical/surgical supplies, pharmaceutical products, local sourcing, capital (equipment, FF&E and redevelopment) and nutrition solutions. Other services include data analytics, in-hospital support, warehousing/logistics, technology, procure-to-pay, and accounts payable.

Based in Burlington, ON, the organization also has offices in Toronto, Thunder Bay, Kingston, Brantford, London and Chatham, and a distribution centre in Oakville.
We are currently recruiting for a full-time Associate Coordinator to support our Pharmacy team.
Position Overview
Reporting to the Senior Manager, Pharmacy Services, the Associate Coordinator position provides exemplary Member customer service, vendor relations, contract management and issue resolution while supporting elements of the sourcing initiative process not related to interchangeability/equivalency of non-pharmaceutical drug products. The role participates in the Pharmacy new Member onboarding team or related activities, as assigned. The Associate Coordinator provides technical and operational support to the Pharmacy Services team in all stages of the sourcing initiative development and execution including implementation of the Pharmacy contracting process and ongoing maintenance of existing contracts. This role has active involvement with the Pharmacy Buyers Subcommittee (PBSC).
Member Customer Service
Participate in the dedicated Pharmacy new Member on-boarding team, or related discrete tasks, as assigned.
Provide accurate, timely, professional response to Member inquiries, including first line management of Member issues submitted for investigation, resolution, and communication. Consultation with Coordinator, Pharmacy Services or Clinical Director for interchangeability or equivalent pharmaceutical drug product inquiries.
Provide support and manage relationships with assigned Members of the PBSC, including electronic Member tools orientation and support as needed
Participate in activities of the PBSC, as assigned.
Participate in Member Opportunity Report delivery meetings, including preparation activities, as applicable.
Operational Support
Prepare and issue specific Pharmacy communications using the corporate communication software, with support of Communications Team.
Management of Pharmacy contacts user accounts and Pharmacy email groups within the ERP system for new and existing Members, vendors, and general contacts.
Sourcing Initiatives/Contract Implementation
Participate in Sourcing Initiative teams for planning and execution of assigned Sourcing Initiatives, including Request for Proposals (RFP), Advance Contract Award Notice (ACAN), and Option Periods
Coordinate and participate in the creation of resulting new contracts in computer system, data integrity activities, output contract documentation, issue for electronic signatures, track, monitor and management of executed contracts.
Coordination with Coordinator, Pharmacy Services for specific pharmaceutical drug product tasks related to interchangeability or equivalency, e.g. Sourcing Data Request initial review, competitive match.
Contract Management
Perform ongoing maintenance of assigned contracts in computer system, data integrity activities, output documentation, issue for electronic signatures, tracking, and management of executed contract amendments.
Perform designated activities associated with Option Periods and Member Contract Exclusion requests.
Provide accurate, timely, professional response to vendor inquiries and participate in meetings with assigned vendors as required.
Provide support to MitigAID Supply Disruption program including research and documentation of alternates for non-pharmaceutical drug products, as required.
Participate in marketplace surveillance activities to identify changes impacting existing contracts, new non-pharmaceutical drug products competitive market entries, and non-pharmaceutical drug new product contracting opportunities, briefing as needed, Clinical Directors for evaluation.
Assist in monitoring and manage pharmacy related articles/bulletins including vendor notices not related to backorders, recalls, or discontinuations or non-pharmaceutical drug contracted product safety concern information and action appropriately.
Participate in the research and cleaning of Pharmacy Member received purchase data, e.g., drug descriptions in preparation for a Coordinator validation of data.
Additional Areas of Responsibility
Attend and contribute to applicable internal meetings.
Assist with development/maintenance of Coordinator, Pharmacy Services system and process documentation, and training tools, as assigned.
Contribute to a positive office environment within the team and organization.
Provide additional support as required to staff and Members.
Liaise with other departments, as assigned, for ongoing revisions, development, implementation, and enhancement opportunities.
Relevant continuous learning.

Education, Training, and Experience
Pharmacy Assistant or related Healthcare diploma and/or degree from a recognized educational institution
Proficient knowledge of Word and Excel (intermediate level)
Experience in a hospital environment an asset.
Travel
Ability to travel to Mohawk Medbuy offices if required.
