Position Overview
We are seeking a Personal Assistant to provide operational support to the chief of staff for a private family in Vancouver. The successful candidate will work closely with the chief of staff to manage daily schedules, correspondence.. This role may require travel on an as-needed basis to ensure smooth operations. This is a full time hybrid position Monday to Friday 40 hours per week. Room for flexibility is a must.
Candidate Profile
The ideal candidate can effectively compile information and prides themselves on concise communication, both written and verbal. Strong organizational ability is a priority, not only administratively but also within the residences. The role requires a "do what it takes" attitude and the ability to juggle competing priorities while providing hands-on support as needed.
Primary Responsibilities
Manage a dynamic calendar across multiple time zones.
Assist in the coordination of household logistics, including deliveries and service providers
Source and book events or activities as requested.
Book private travel and accommodations, create trip itineraries, and be available to support any last-minute changes to travel plans while the principal is abroad.
Act as the main point of contact for any issues that may arise, such as rescheduling a missed flight or retrieving lost luggage.
Track expenses, reconcile receipts, and find cost-saving alternatives without compromising quality.
Manage existing inventories and purchasing for the principals.
Assist with gift buying, Christmas cards, and other small projects.
Research vendors,products and services to support household and family needs
Run errands, such as dry cleaning or package drop-offs.
Perform additional duties as assigned by the principals.
Provide ad-hoc administrative support to the principal and other family members
Applicant Qualities
Must have access to a reliable vehicle and a valid driver's license.
A minimum of 3 years of experience in a personal or executive position is a plus
Must be familiar and comfortable with digital management, tracking, modeling, and writing tools.
Ability to communicate effectively and professionally.
Must have excellent time management skills, be punctual, courteous, and possess keen attention to detail.
Must maintain privacy and confidentiality at all times, exercising diplomacy, discretion, and respecting appropriate boundaries.
Ability to take initiative, work independently and collaboratively.
