The Role
The Resource Planning Lead will play a critical role in optimizing resource
allocation, improving operational efficiency, and supporting project delivery
across the organization. This role is focused on translating business priorities
into actionable project schedules and resource plans, tracking ongoing capacity,
and identifying potential gaps or conflicts before they impact delivery.
Partnering closely with project managers, team leads, senior and operational
stakeholders, the Resource Planning Lead ensures that business priorities are
aligned with available resources, workloads are balanced, project plans remain
realistic, and teams are set up for success.
Key responsibilities include overseeing resource planning and allocation across
multiple concurrent software implementation projects and pipeline of upcoming
initiatives. This role forecasts and monitors team capacity, identifies
resourcing risks, and ensures delivery commitments are achievable based on
workforce availability and skill alignment. Working cross-functionally across
Versaterm functional areas, the Resource Planning Lead creates data-driven
insights into utilization, demand forecasting, and delivery efficiency. The role
assists Project Managers in producing the initial project plans and project
implementation schedules, creates reports and dashboards to support leadership
decision-making, improve predictability, and optimize project outcomes.
This is a high-impact and hand-on planning role (not just project management)
that blends planning, scheduling, analytics, forecasting and collaboration—and
is a key part of enabling smooth execution in a fast-paced, growing
organization.
What You’ll Do
Resource Planning

Lead resource planning and forecasting across multiple implementation
projects, aligning people resources with delivery timelines and customer
commitments.

Create, monitor, and analyze workforce utilization, project schedules, and
upcoming demand to identify risks, bottlenecks, or over-allocation.

Partner with implementation leadership, project managers, and department
heads to prioritize work and balance competing demands.

Recommend process improvements to increase efficiency in capacity planning,
resourcing, and project scheduling.

Act as a subject matter expert in workforce planning tools and methodologies,
driving adoption of best practices across the team.

Identify resource gaps or bottlenecks and escalate risks early with
recommendations.
Project Scheduling

Create initial project schedules including timelines, milestones, and
dependencies.

Build and refine project templates to drive consistency across the CAD/RMS
projects.

Monitor progress against schedules, flag risks or variances, and recommend
corrective action to stakeholders.

Ensure alignment between project goals, delivery timelines, and resource
availability across the organization.
Operational Insights & Reporting

Develop models, project scheduling templates, reports, and dashboards to
provide visibility into resource capacity, project pipeline alignment, and
delivery health, providing real time visibility into performance trends.

Contribute to strategic workforce discussions by providing insights that
improve efficiency, and support delivery velocity.

Support strategic planning by analyzing historical project data, staffing
patterns, and future demand forecasts.

Provide regular updates and presentations to leadership on capacity risks,
staffing gaps, and mitigation strategies.
What You Bring
-
3+ years of experience in internal capacity planning, resource forecasting,
and scheduling, preferably in a software or technology environment.

Proven expertise with project and resource management tools such
as Kantata (Mavenlink), Microsoft Project, or equivalent enterprise
platforms.

Strong analytical skills and a strategic mindset— able to interpret data,
identify trends, and translate insights into actionable recommendations.

Demonstrated ability to influence and collaborate with senior leadership to
drive resource-related decisions.

Experience managing multiple priorities in a cross-functional, fast-moving
environment.

Excellent communication and stakeholder engagement skills, with the ability
to convey complex capacity insights to technical and non-technical
audiences.

Proficiency with collaboration tools (e.g., Confluence, Jira, Teams).

Nice to Have

Experience in public safety, SaaS, or professional services industries.

Familiarity with Computer -Aided Dispatch (CAD) or Record Management System
(RMS) product environments.

Understanding of time tracking, budgeting, or forecasting workflows.
This position requires a security clearance from the Government of Canada.
Candidates must be legally authorized to work in Canada and must successfully
obtain and maintain a Reliability security clearance. Please note that specific
