The Accounts Receivable Clerk is responsible for performing administrative and general accounting tasks related to reviewing, monitoring and processing of all incoming payments by: a) Daily posting of contribution reports and deposits received via lockbox, incoming EFT payments and cheques received by mail or courier; b) Maintaining assigned trust fund accounts, ensuring they are updated and interacting with employers to address any variances; and c) Completing month-end accounting tasks within required deadlines. The office location is in Etobicoke at The West Mall & Dundas and requires 3 days/week in-office. The Accounts Receivable Clerk will: DAILY ACCOUNTS RECEIVABLE ADMINISTRATION Accesses the bank lockbox daily for assigned trust fund accounts to view cheque deposits received and downloads associated employer contribution reports Completes the input of the contribution reports into the Accounting System for health/welfare, pension, taxes and other dues collected under Collective Bargaining agreements. Scans all employer contribution reports and attaches documents to the posted entries. Conducts daily review of the bank statements against the online Employer contribution submissions and applies payments received to the appropriate submissions. Handles daily cheque deposits. Completes data entry in an accurate and timely manner whether via manual input or downloading/conversion of client reports received electronically. Completes daily reconciliation of all cash receipts to the appropriate bank accounts. ACCOUNT MAINTENANCE Prepares payables cheque requisitions for reciprocal transfers of welfare or pension hours and dollars received in error. Updates and posts suspended members as well as temporary eligibility for new member groups as requested through the Claims Administration team. Interacts and assists employers with inquiries on outstanding work-month reports, eligibility questions, issues with SIN numbers and outstanding or missing payments. MONTH END Balances cash receipts and bank accounts. Processes any additional accounts receivable payments. Posts reversal and correction entries for incorrect work-months, subgroups and/or rate classes. Reconciles the suspense accounts regularly to ensure contributions received in error are returned to the sender or appropriate local in a timely manner Note: This position is also responsible for covering reception duties as required.
