The Operations Specialist performs a variety of administrative tasks in support of the operations function Key Responsibilities: • Work with operations to schedule in client appointments into the facility and coordinate changes/exceptions and other required notifications. • Greet client personnel at the reception window upon their arrival and professionally expedite them through the queue while dealing with conflicts and issues that may arise. • Document and maintain waste receipt/shipment records while ensuring the completeness, accuracy of all entries created – i.e. Waste Manifests, Bills of Lading, and work orders. • Follow applicable regulations with regards to the transportation, receiving and management of waste. • Ensure all internal and regulated documents are completed correctly and organized - including lab analytics, work orders, BOLs, manifests, driver logs, hazard assessments, etc. and completed daily. • Prepare work orders based on confirmed service requests and complete billings following job execution and material acceptance with strong attention to detail and accuracy. • Assist Operations with on-boarding activities including DOT records/checks, Backgrounds (where required) and Workday. • Assist the Maintenance Department, as needed, with tracking/maintaining inventory and upkeep of the M5 system. • Responsible for general customer/facility inquiries and direct to other appropriate parties. • Receive, investigate, and effectively resolve customer complaints based on established policies and procedures with customer satisfaction focus and appropriate escalation. • Advise clients and potential customers of regulation Requirements: pertaining to collection and transportation of waste material for disposal. • Create and maintain customer accounts, waste classification and pricing profiles within our proprietary CRM system. • Prepare waste diversion and other reports for customers and management upon request. • Working cohesively with facility operations staff to meet client expectations and enhance our service offerings/value proposition. • General office administration including electronic and paper-based storage/filing. • Assist with procurement and purchasing as required. • Other tasks as assigned. Knowledge, Skills, Abilities and Competencies: • University degree or College Diploma, preference given to those in chemistry, environmental science and transportation related disciplines. • At least 2 years customer service and/or office administration experience. • Strong interpersonal skills and ability to develop and foster relationship growth in a professional setting. • Capable of empathetic listening and conflict resolution in a fast paced and high-volume environment. • Desire and motivation to gain knowledge about the industry in multiple facets to develop professional skills within the waste management space. • Excellent communication skills in oral and written English. • Strong listening, negotiation, presentation, and client facing ability. • Ability to independently resolve problems within one’s scope of authority and understanding of when to escalate to superiors. • Solid personal integrity and dedication. • Ability to work without supervision. • Overtime during certain peak seasons is required. • Proficiency in Microsoft office suite including Word, Power Point and Outlook with emphasis on Excel.
