Role Summary:
The HVAC Junior Planner provides essential administrative and planning support to ensure maintenance activities are executed efficiently, accurately, and on schedule. Reporting to the HVAC Senior Planner, this role is heavily focused on organizing, tracking, and coordinating preventative and corrective maintenance tasks, while supporting technicians and supervisors with day-to-day planning and administrative needs. The Junior Planner plays a key role in maintaining accurate records, supporting work order management, and ensuring resources, materials, and schedules are in place to keep operations running smoothly.
Primary Responsibilities:
Review, prepare, and process timesheets, preventative (PM) and corrective maintenance (CM) work orders, ensuring accuracy, documentation, and timely submission.
Assist with scheduling, rescheduling, and follow-up of PMs and CMs, maintaining accurate records in the planning system.
Scan, file, and maintain records for all maintenance documentation, ensuring proper tracking and accessibility.
Order and track required materials, tools, and equipment (e.g., filters, belts, lifts, scaffolding), and maintain inventory and equipment lists.
Assist in preparing, attaching, and distributing job plans, equipment lists, and supporting materials for technicians.
When supervision is in the field, will assist techs with tool crib and filter tent access.
Prepare monthly backlog reports, PM trackers, and usage reports for review by Senior Planner.
Provide administrative assistance with training records, coverall organization, and other operational needs.
Maintain and update master equipment lists, parts inventories, and tool tracking systems.
Work with vendors, supervision, and the warehouse to process requisitions, reserve stock, and manage replenishment needs.
Education & Experience:
Advanced experience with Microsoft Office Suite, particularly Excel and use of Macros.
Demonstrated commitment to safe work practices.
Understanding of planning and scheduling concepts as they relate to HVAC equipment.
Collaborative communication style.
Self-starter with the ability to work independently and as part of a team
Strong communication skills.
Knowledge of the practices, methods and techniques used in the performance of work as assigned.
Strong organizational skills
Ability to handle a large workload volume.
Able to coordinate work assignments with other workers, divisions or departments.
Valid Class 5 Driver’s License.
