The Fleet Coordinator plays a key role in supporting the operational and administrative functions of the Fleet Department. Working closely with the Fleet Manager, Heavy Duty Technicians, and other team members, this position ensures the implementation of cost-effective asset management strategies, regulatory compliance, and smooth day-to-day operations. The Fleet Coordinator is responsible for maintaining a safe, reliable, and well-documented fleet across Canadian and U.S. jurisdictions.
Responsibilities:
Fleet Operations & Maintenance Support
· Order parts and supplies for Heavy Duty Technicians using various sources.
· Assist with troubleshooting and diagnostics manual lookups.
· Track unit numbers, drivers, maintenance work orders, and inspection schedules using Excel.
· Schedule and track NDT/CVIP inspections with appropriate suppliers.
· Manage vehicle licensing and renewals.
· Program TAD/ICOM radios as needed.
· Maintain and update unit binders and inventory databases for vehicles and equipment.
· Support Truckers Time Entry system and ensure accurate records.
Regulatory Compliance & Reporting
· Manage licensing and registration processes for Canadian and U.S. entities.
· Oversee IFTA tax reporting and license renewals.
· Coordinate Safety Fitness Certificate renewals.
· Manage various annual trucking permits.
Administrative & Employee Support
· Process purchase orders (Traker) and submit to Accounts Payable.
· Assist employees with system access and troubleshooting.
· Prepare and submit expense reports.
· Order and manage fuel cards, including issue resolution.
· Handle staple orders and general office supply needs.
· Make travel arrangements for staff when required.
Education & Experience
· Completion of Grade 12 diploma or equivalent.
· Extensive experience in fleet maintenance and asset management.
· Familiarity with fleet management systems and regulatory compliance.
Knowledge & Skills
· Strong mechanical aptitude.
· Proficiency in Microsoft Office (Excel, Word) and other relevant software.
· Excellent interpersonal and communication skills, both verbal and written.
· Strong analytical, problem-solving, and decision-making abilities.
· Ability to work independently with minimal supervision and manage frequent interruptions.
· High attention to detail and accuracy.
· Ability to maintain confidentiality and handle sensitive information with discretion.
· Effective organizational and time management skills.
