Job Description: Position Purpose summary: The Volunteer Coordinator provides support to the Corps Officer, coordinating delivery of all required volunteer administrative support services for The Salvation Army (TSA) Bloor Central Volunteer Program. They perform daily tasks related to volunteer administration operations and respond to volunteer inquiries via phone and email and provide a welcoming atmosphere for volunteers. ACCOUNTABILITIES: 1. General Manage community volunteers which includes their recruitment, orientation, scheduling, monitoring performance. Assist Corps Officer with yearly strategic volunteer plans and Volunteer Appreciation event. Onboard new volunteers: ensure volunteers receive, complete, and return required forms in a timely manner. Create and assist in presentations promoting volunteer opportunities to corporations, schools and the public as required. Provide documentation of completed volunteer hours to volunteers, upon request. Continually improve the Volunteer Program process and policies, and volunteer activity and facilitation documentation, as needed. Ensure TSA volunteer standards and policies are upheld. Responsible for reporting any issues/concerns/problems as per policies and procedures to the Corps Officer. Provide visibility for The Salvation Army within the community through relationships with people and corporations in our community. Ensure divisional standards are followed by all volunteers. Administration: Maintain accurate documentation and records of volunteer training, screening, etc. to ensure compliance with TSA Volunteer. Maintain the volunteer database and filing system as well as any required paperwork in keeping with Salvation Army policies and procedures. Ensure effective and accurate management of inbound and outbound of volunteer emails. Maintain accurate records of group volunteer opportunity planning. Ensure that background checks, driver’s abstracts, e-learning Health & Safety and Armatus Training etc. are up to date. Collect data and reports on statistics pulled from TSA programs. Maintain a working list of contacts, connections and partnerships made that support the unit. Responsible for various correspondence, newsletters, and administrative duties and will assist with the unit’s website and social media. Health and Safety: Provide orientation of Health and Safety measures to volunteers. Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures. Perform other related duties as required CRITICAL RELATIONSHIP MANAGEMENT: Internal: Corps Officers, employees, and volunteers External: Community, Donors, Health Inspector, Vendors MANAGERIAL/TECHNICAL LEADERSHIP RESPONSIBILITY Reports directly to the Corps Officer Direct reports: None This role does not have any direct reports but may supervise up to 310 volunteers throughout a year in various programs; provides training, direction and assigning responsibilities and generally works alongside those supervised. FINANCIAL AND MATERIALS MANAGEMENT: This role has no financial budget allocation or expenditure authority. WORKING CONDITIONS: This is a temporary part-time position based on 18 hours per week. Flexibility in scheduling is required and will vary, including weekday, weekend, and evening work. The work environment is typically in a general office setting in generally agreeable conditions with the following exceptions, Dealing with difficult people. Ability to lift/move objects on a regular basis up to 30 pounds without assistance. This job requires involves working in a standing position for long periods of time, lifting walking, carrying, sitting, reaching, bending, and twisting. Normal hours of work: Tuesday’s and Friday’s, 8:30 a.m. to 3:00 p.m. and Saturday’s 1:30 p.m. to 8:00 p.m. and includes an ½ hour unpaid meal break. EDUCATION, EXPERIENCE, QUALIFICATIONS, CERTIFICATIONS, SKILLS: Education, Qualifications and Certifications: Completion of a formal post-secondary program of two academic years preferable in Volunteer Management. Experience and Skilled Knowledge Requirements: At least 3 years of prior related experience, including volunteer management, some supervisory experience, and proven track record of communicating clearly both orally and in writing. Administrative, general clerical and Customer Service. Intermediate to advanced proficiency in Microsoft Office Suite. Experience with Volunteer Coordination and Management platform software, such as Better Impact, is an asset. Experience with TSA specific software and processes is an asset. Alternative combinations of education and experience may be considered. Skills and Capabilities: Lead by example, demonstrate a positive attitude, a strong work ethic, and a willingness to learn and be flexible in the face of change. Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening. Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities. Compensation: The target hiring range for this position is $23.28 to $29.10 with a maximum of $34.92. Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
