Job Description
Administrative Coordination: Manage all onboarding logistics including scheduling orientation sessions, preparing welcome materials, and maintaining onboarding checklists to ensure timely task completion.
Document Management: Collect, verify, and securely organize new hire documentation in compliance with data protection standards using HR systems or document platforms.
Record Keeping & Reporting: Maintain accurate records of onboarding activities, track progress, generate reports for HR and leadership, and archive completed files per company policy.
Stakeholder Engagement: Serve as the main point of contact for new hires, liaising with internal departments and hiring managers to align onboarding timelines and expectations.
Process Oversight: Monitor onboarding workflows, follow up on outstanding items, and escalate delays or issues to relevant stakeholders to ensure smooth execution.
Compliance & Continuous Improvement: Ensure onboarding practices meet legal and company standards while supporting initiatives to enhance process efficiency and quality.
Qualifications
1–2 years of experience in an administrative or HR support role
Post-secondary education in Human Resources, Business Administration, or a related field
Strong organizational skills with attention to detail and accuracy in document handling
Strong proficiency in Microsoft Office Suite and familiarity with HRIS or document management systems
