Job Summary UBC has embarked on a multi-year journey to transform its academic and administrative support processes and system environments for the entire UBC community. In November 2020, UBC successfully went live with its new HR and Finance implementation of Workday. The Integrated Renewal Program (IRP) is now focused on the journey to renew the Student information ecosystem, anchored by the implementation of Workday Student. The Integrated Renewal Program—Student (IRP Student) vision is to transform the way UBC supports learning and research, and how UBC works, to create a cohesive, integrated, and enriched experience for students, staff, and faculty. This implementation will result in superior support for UBC students, a better user experience, a new set of tools, a new way of working, and improved reporting for informed decision-making. IRP Student will leverage the industry-leading cloud enterprise solution Workday to replace our current core Student administration systems with a new integrated, user friendly, mobile-enabled platform. For more information on the IRP, please visit www.integrated-renewal.ubc.ca The Project Manager II manages the entire project lifecycle of medium scale or complex projects including developing project plans, assembling project teams, assigning individual responsibilities, identifying appropriate resources needed, and developing schedules to ensure timely completion of projects. The Project Manager II directs and coordinates a cross-functional team and manages inter-project dependencies and communication. The incumbent ensures that the formal project management methodologies established by UBC IT's Project Management Office (PMO), are followed. The incumbent is required to provide regular status reports to the Program Management Office and escalates issues as required. Organizational Status The Project Manager II works within the project team including Business Analysts, Developers, functional experts, and other project specialists, and reports into the IRP Program Management Office and takes day-to-day direction from, the Senior Project Manager, IRP Student on all aspects of project delivery, while working closely with management and staff in UBC IT, and other administrative and academic units across the University. Work Performed - The Project Manager II leads and manages complex projects related to information systems and business processes that involve UBC IT and the greater UBC community. Examples of such projects are: Student Information System (SIS), HR, Finance, Identity and Access Management (IAM), Learning Management (LMS), UBC e-Payment, Email, and Networks. Core Duties: - Initiates projects following appropriate project management methodology including gathering and defining project requirements, developing project charters, project plans, budgets and schedules, identifying staffing requirements, and forming project teams. - Selects and follows project management methods, procedures, and quality objectives, and tracks metrics for assessing progress. - Balances workload, provides technical and analytical guidance and work direction to project team, including scheduling, assignment of work, review of project efforts and removal of roadblocks which may inhibit project success. - Ensures that all team members have the tools and training required to perform effectively, and provides the team with constructive feedback as it pertains to project performance. - Assesses variances from the project plans, budgets and schedules, develops and implements changes as necessary to ensure that the project remains within specified scope and is within time, cost, and quality objectives, and keeps management aware of the situation. - Conducts formal review with business sponsor at project completion to confirm acceptance and satisfaction. -Identifies potential areas for improvement in current methodologies and provides guidance to other less experienced project managers. - Develops and maintains a productive working relationship with project sponsors, vendors and key clients. - Maintains appropriate professional designations and up-to-date knowledge of current information technology techniques and tools. - Performs other related duties as required. This position must be able to foresee potential problems before they occur and take corrective action. Supervision Given Manages staff directly and indirectly through subordinates. Project direction responsibilities may include technical and end user staff from UBC IT, academic departments, customers, and other administrative units across the University community. Minimum Qualifications Undergraduate degree in a relevant discipline. Minimum of eight years of related experience including at least two years of managerial experience, or the equivalent combination of education and experience. - Willingness to respect diverse perspectives, including perspectives in conflict with one’s own - Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion Preferred Qualifications Undergraduate degree in an IT or Business Administration preferred. Project Management Professional designation is an asset. Demonstrated ongoing career development through active and self-motivated professional development in the field of project management. Project and/or technology management experience demonstrating progressive responsibility preferably in a University or other public sector environment or the equivalent combination of education and experience. Minimum two years in the role of project manager managing, designing, developing and implementing IT systems or processes. Experience in change management, budget development, financial management, and risk management. Good knowledge of applications development methodologies. Knowledge of IT application development and implementation best practices, "rules of thumb", and benchmarks. An understanding of key trends and players in the IT industry, particularly on mobile applications and digital media. Effective leadership, consulting, facilitation, consensus building, conflict resolution, and negotiation and team-building skills. Ability to mentor and coach staff, and act as a resource. Ability to effectively facilitate groups to achieve appropriate outcome. Ability to develop and deliver effective presentations and workshops. Ability to effectively manage multiple tasks and priorities and work in a fast-paced environment. Experience in project management tools Microsoft Project, Smartsheet, JIRA & Confluence is an asset.
