We are seeking a detail-oriented and organized Payroll Coordinator to join our Finance team. In this role, you will be responsible for processing payroll for approximately 600 employees across Alberta, British Columbia, Saskatchewan, and Yukon. Using our HRIS payroll system (Dayforce), our ERP (BST Enterprise), and Microsoft Excel, you will ensure timely and accurate payroll administration in compliance with provincial and federal legislation.
This position also plays a key role in data analysis, reporting, and supporting employee lifecycle events by providing accurate payroll insights, responding to ad hoc data requests, and assisting with termination and year-end processes.
We are ideally seeking a professional who is able to work out of our beautiful Edmonton, Alberta office but candidates within Alberta may also be considered on a hybrid schedule.

About the Role
Payroll Processing:
Prepare, review, and process bi-weekly payroll for ~600 employees across multiple provinces and territories.
Maintain payroll records and ensure accuracy of employee data within the HRIS.
Import, validate, and reconcile payroll data, including timesheets, benefits, deductions, and allowances.
Conduct payroll audits and resolve discrepancies promptly.
Process benefits premium payments.
Benefits premium reconciliations.
Some weekends required to process pay in a timely manner.
Compliance & Reporting:
Ensure payroll practices comply with employment standards, tax regulations, and statutory requirements in Alberta, BC, Saskatchewan, and Yukon.
Prepare and file year-end documents (e.g., T4s, provincial reporting, WCB, BC Employer Health Tax, etc.).
Support audits and provide required payroll documentation.
Termination & Employee Lifecycle Support:
Prepare Records of Employment (ROEs), vacation/sick balance checks, and final pay calculations.
Ensure accurate and timely processing of employee terminations in compliance with provincial standards.
Support HR in offboarding processes with payroll-related documentation.
Data Analysis & Ad Hoc Reporting:
Pull, analyze, and present payroll-related data using the HRIS and Excel.
Ability to complete payroll related journal entries.
Create ad hoc reports and dashboards for HR, Finance, and business leaders.
Monitor payroll trends (e.g., overtime, benefits costs, turnover data) to support workforce planning and decision-making.
Employee Support & Communication:
Respond to employee inquiries regarding pay, deductions, and payroll policies.
Collaborate with HR, Finance, and Managers to address payroll-related issues.
System & Process Improvement:
Support optimization of payroll processes and reporting functions within the HRIS.
Recommend improvements to enhance payroll accuracy, compliance, and efficiency.

Your resume and cover letter should show us:
4+ years of payroll experience; experience in multi-province payroll is an asset.
Certifications and education considered an asset (PCP, CPM and other post-secondary education).
Experience with an HRIS payroll system.
Dayforce and BST experience is considered an asset.
Strong skills in Microsoft Excel (e.g., pivot tables, formulas, data validation, reconciliations).
Demonstrated ability to analyze data and prepare meaningful reports for stakeholders.
Solid understanding of payroll regulations, taxation, and employment standards across Western Canada.
High attention to detail, organizational skills, and ability to manage confidential information.
Must be available to work occasional weekends due to pay cycles.
Interest in AI, technology tools for improved efficiency is an asset.

Depending on your experience level, the salary range for this opportunity is:
$70,000 - $78,000 (based on a 40-hour work week)
