Brazeau County is seeking a dedicated Administrative Assistant to support our Planning and Development Department. As the first point of contact for the public, you’ll play a vital role in guiding residents through application processes and responding to inquiries with professionalism and care.
POSITION SUMMARY
The Administrative Assistant provides administrative support to the Planning and Development Department and serves as the department’s front-line contact with the public. This position is responsible for providing customer service support for application assistance and department inquiries in person, electronically, and on the phone.
RESPONSIBILITIES
Assist the public with inquiries for processing and completing development permit, subdivision and rezoning applications.
Answer customer inquiries with regards to properties, such as the existence of necessary development permits.
Assist the public with legal land locations, reading aerial photos, and zoning inquiries.
Provide administrative support to the department, including but not limited to:
receiving, documenting, preparing, and distributing correspondence;
coordinating department mail outs;
organizing, creating, compiling, and maintaining records, files, presentation materials, agendas, and minutes;
reviewing files to ensure appropriate document deadlines were completed or outstanding deadlines are addressed by the appropriate team member.
Provide administrative support for economic development activities and initiatives, including but not limited to:
attending committee meetings and preparing meeting minutes and action item lists;
preparing and distributing correspondence;
providing support for organizing meetings and events; and
managing business license applications and database.
Provide administrative support and tracking for enforcement files and assist with preparing the required correspondence.
Assist with project research , this may include internet research and contacting other municipalities or agencies.
Provide administrative support to the Municipal Planning Commission, this may include agenda preparation and minute taking.
Receive and process fees and charges.
Maintain, file, and update all databases and records for development permits, compliance certificates, subdivision applications, Land Use Bylaw amendments, oil and gas leases, etc.
Meeting and event scheduling, preparations, and arrangements such as facility bookings, catering, and technical requirements.
Provide Land Use Bylaw and Municipal Government Act information to residents or members of the public.
Provide back up support to the Customer Service Desk when necessary.
Work in compliance with the Alberta Occupational Health and Safety Act, regulations and codes, and actively participate in the County’s Safety Program.
Undertake any other reasonable duty, commensurate with the classification and responsibility of the position, across the department to meet service priorities and business continuity requirements.
May be required in the event of a municipal emergency to support the emergency operations centre and incident action/recovery plan.
COMPETENCIES
Education and Training:
A High School Diploma or equivalent is required.
A recognized post-secondary Office Administration Certificate is required.
A combination of education and experience may be considered.
Licenses and Certifications
A valid Class 5 Driver’s License is required.
A satisfactory Commercial Driver’s Abstract is required.
Knowledge, Skills, And Abilities
Minimum three years related work experience, municipal or administrative experience is an asset.
Knowledge and experience of planning terminology, practices, procedures, standards and work methods.
Knowledge of legal land descriptions and map interpretation.
Knowledge of land registry processes.
Previous experience with GIS and/or cartography is an asset.
Advanced knowledge and proficiency in Office 365 including Word, Excel, Outlook and Teams.
Be willing to obtain further training and education related to development and planning.
Trustworthy and high ability to maintain confidentiality and professionalism when handling sensitive information.
Possess strong written communication skills with accuracy and detail oriented.
Effective oral communication skills and ability to interact with many different individuals in a professional manner.
Demonstrate attention to detail; perform work carefully, with few errors.
Ability to do research and summarize results of research.
Time-management skills and the ability to prioritize and complete multiple tasks within deadlines.
Self-motivated, strong work ethic and the ability to work with minimal supervision.
Knowledge of the Municipal Government Act and County Bylaws an asset.

Salary range is $62,556 to $81,360
Hours of work are Monday to Friday from 8:00 am to 5:00 pm (37.5 hours per week), with a one hour lunch break
