Provides highest level customer service to customers by collaboratively working with Sales team, including Sales Directors, Regional Managers, Account Representatives and Account Specialists. This role is primarily responsible for supporting Sales team with quotes, scheduling and order entry and other transactions for assigned region.
Principal Responsibilities:
Accurately enters and reviews quotes and sales orders within 24 hours.
Enters customer and sales input into processing system according to company procedures.
Assists customers and other staff by answering questions related to accounts, products, procedures, and services.
Supports preparation of documents for annual contract renewals and price adjustments.
Ensures all proper paperwork is filed in customer folders to meet department policy.
Supports the preparation and submission of RFQ’s, RFP’s, other formal quotations, and bids as requested by the customers.
Supports the preparation of monthly statistics on customer sales activity and performance; produces charts and graphs as required.
Supports invoicing customers, invoicing freight, and matching records for payment.
Develops and maintains detailed written desk instructions covering all major responsibilities.
Provides departmental clerical support.
May assist in inventory support including participating in physical inventory.
May perform additional clerical responsibilities including mail distribution, filing, and general administrative tasks.
Need to be available to receive calls and work additional hours and/or weekends to provide customer emergency response coverage, as required.
Provides back-up support to other customer service team members on telephone coverage, quotation/order entry processes; copying, and filing.
May occasionally be required to attend customer service events and field calls with limited overnight travel
Provides clerical support for the Sales Directors, Regional Sales Managers, and other Sales
Team members as required.
Participates and contributes to company safety program.
Performs other related duties as assigned.
Qualifications:
Experience: One or more years general administrative support; 2 or more years of
customer service experience
Advance proficiency in Microsoft Suite
Strong organizational skills, proactive attitude with exceptional attention to detail
Capability to multi-task and work under pressure of deadlines
Ability to work in a team environment and interface interdepartmentally
