Fort Edmonton Park is a historical museum offering authentic, immersive, memorable and fun experiences to a broad range of audiences. Every year we play host to hundreds of private events that take place in a variety of locations, some of which book out the entire Park. We are looking for an individual to join our Sales Team as a Private Events Coordinator. What will you do?
Support the sales team by organizing the deployment of confirmed sales contracts
Manage all logistical aspects of events including booking venues, audio equipment, room setup, menu planning, parking and transportation
Collaborate with Supervisor, User Groups, Central Bookings Team and on site staff to ensure that client bookings are aligned with the intended usage of the facility
Check venue for readiness prior to event and meet with clients during events
Liaise with various stakeholders including the train crew, public interpretation, entertainment, food & beverage and third party vendors to ensure all necessary support services are confirmed and coordinated
Prepare detailed briefing notes, outlining the schedule of events, room set-up, presentation requirements and distribute to all vested parties
Enter all information including catering details into Opera Sales and Catering system, ensuring that information is accurate, timely and disbursed accordingly
Administer and communicate operational policies and procedures established for the facilities (i.e. emergency procedures, space/facility/equipment use, and cash handling)
Manage Internal Transfers, Tentative bookings and Accounts Receivable to ensure the timely processing of payments
Produce schedules and status reports regarding users and activities of the facility and share with all stakeholders
Enter all information including catering details into Opera Sales and Catering system, ensuring that information is accurate, timely and disbursed accordingly
Attendance at weekly team meetings and one-on-one meetings with direct supervisor
Other relevant duties as assigned
Grade 12 or high school equivalent, including business subjects with an emphasis on general office practices or completion of an appropriate certificate program from an approved business school or college
3 years of progressively responsible experience in catering and event planning, specifically private and corporate event planning
Assets:
Knowledge of Opera Sales and Catering system
Current Intermediate First Aid and CPR (Level C) certifications
Knowledge of facility booking system such as RAMS and CLASS software
Skills required for success:
Skill and experience using Google Docs and Gmail
Exemplary verbal and written communication skills with ability to speak with a variety of clients and stakeholders
Excellent organization skills and ability to prioritize with competing deadline
Able to interact comfortably and professionally with senior-level executives, business owners, and other leading members of the community
Ability to provide leadership to staff/volunteers
Ability to coordinate facility booking, supplies and registration
Excellent organizational, time management and interpersonal skills

Conditions of Employment:
Hire is dependent upon a Police Information Check satisfactory to the City of Edmonton
Applicants will be required to arrange their own transportation
Work Environment:
This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52.
The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.
