The Alma Mater Society (AMS) is the oldest student association in Canada and has been a central student organization at Queen's since its founding in 1858. Today, the AMS acts as a service, advocacy, and governing body on behalf of all students enrolled in AMS-affiliated programs at Queen's University.
The AMS is a not-for-profit entity created by the Society to ensure its continuing financial viability by overseeing the management of its services and associated financial affairs. It is bound by the By-laws and corporate philosophy of our Mission and Operating statements as set out in the AMS Constitution.
In addition to providing wage-based service staff positions for students wanting employment, the AMS seeks to support the Society's broader objectives through the provisioning of a high quality, relevant range of student funded services, that provide a wide range of employment opportunities and meaningful out-of-classroom learning and skill acquisition experiences for students.
Job Description
The Orientation Roundtable (ORT) is a group that meets regularly and consists of the ORT Executive and representatives from the faculty society, and NEWTS, Orientation Committees. The ORT Executive consists of the ORT Coordinator, ORT Assistant Coordinator and four (4) Directors. ORT is responsible for the oversight of all planning and coordination of Orientation Week. ORT completes all room, space and bookings, and equipment/vehicle rentals, organizes leader training for all Orientation Leaders and Executives, coordinates with university stakeholders, and organizes the ORT Mystery Concert. The ORT Executives serve as a key support system for the Orientation Executives and faculty orientation teams throughout the planning and execution process of Orientation Week. These positions are one-of-a-kind at Queen's and provide a unique way to get involved with welcoming the incoming class!
This application is for the executive team in general. Within the executive team, the following roles will be assigned: ORT Assistant Coordinator, Concert Director, Logistics Director, Equity Director and System and Support Director (waged positions). Descriptions of all these positions are listed below.
Time Commitment, Eligibility, and Remuneration
Waged term from June to November of a time commitment of approximately 20-25 hours/week from May to the beginning of Orientation, to 40 hours/week during the Orientation period, varying depending on workload and schedule.
The successful applicants will be required to attend volunteer training provided by the Human Resources Office.
Successful applicants must return to Kingston by the beginning of August (exact date to be set by ORT Coordinator). This means there is a 4-week period prior to and including Orientation where other directors are expected to work approximately up to 25 hours to finalize preparation for Orientation
ORT Assistant Coordinator must be available to work upwards of 25-30 hours Monday to Friday from May 1st-the beginning of the Orientation period
The time commitment during the year is spread across both semesters; thus, students who are participating in an exchange program may not be eligible.
All AMS volunteers must be in 60 percent of a full course load and have paid their full slate of mandatory fees as well as their AMS Membership Fee
Responsibilities
ORT Assistant Coordinator Responsibilities
Attend all weekly ORT meetings and ORT Executive meetings (dates to be set by ORT Coordinator)
Coordinate and execute mandatory training sessions in February for all Orientation Week leaders and Orientation Committee executives
Coordinate and execute training sessions during Leader/Executive Training Week prior to Orientation for Orientation Leaders and Executives, including topics such as leadership and mentorship, emergency procedures, accessibility, and incorporating University and community resources (specific content of these sessions will follow the recommendations put forth by SORC and considerations from ORT Coordinator)
Responsible for supporting faculty specific Orientation training
Facilitate and deliver additional ad hoc training/development opportunities as necessary or when requested by ORT Coordinator or mandated by SORC recommendations
Take on managerial administrative tasks from May to August alongside the ORT Coordinator
Work with the ORT Coordinator to create the common section of the Orientation Handbooks
Work with ORT Coordinator and the Sponsorship and Special Project Assistant Manager (Commission of Campus Affairs) to finalize equitable sponsorship for ORT and faculty societies
Support ORT Coordinator with the incident reporting process
Meet with ORT Coordinator regularly, attend all ORT meetings, and meet with corresponding stakeholders.
Submit a written transition manual by end of October
