The Opportunity
An exciting opportunity is available to join the Applied Research and Innovation Services (ARIS) team as an Office Administrator at SAIT. We are seeking a customer-focused professional to provide administrative and operational support in our ARIS office for applied research services. As the first point of contact, the ARIS Office Administrator will deliver exceptional customer service, manage front desk operations, assist with daily tasks, and support office functions. Responsibilities include coordinating meetings, managing records, and communicating with both internal and external stakeholders. Additionally, this role will help promote ARIS and connect industry partners and students with SAIT’s expertise in applied research.

The Role
Perform a variety of clerical tasks including data entry, filing, photocopying, and document preparation
Schedule meetings and appointments, manage calendars, and support coordination of events or meetings
Assist in the preparation of reports, correspondence, and other materials
Receive, sort, and distribute mail and courier deliveries
Contribute ideas and energy towards ensuring our office environment reflects SAIT’s values of Fairness, Integrity, Respect, Safety, and Transparency
Greet and assist visitors, clients, staff, and students in a courteous and professional manner
Answer and direct incoming calls, take messages, and respond to inquiries via phone, email, and in-person
Maintain the appearance and organization of the reception area, meeting rooms, and common areas
Order and maintain office supplies and inventory
Support onboarding activities for new employees or visitors
Coordinate maintenance requests or IT support needs for the office as required
Provide accurate and timely information to internal and external stakeholders
Maintain confidentiality and professionalism in handling sensitive information
Act as a liaison between departments, students, faculty, and visitors
Attend and/or coordinate networking opportunities including tours, presentations, media interviews and support, industry events, and memberships in industry organizations
Format, design, and create/edit documentation (letters, information sheets, application forms, guidelines, certificates, policies, procedures, presentations, and newsletters)
Coordinate event opportunities including catering, setting up tables and display, registrations, distributing promotional materials, liaising with event attendees
Assist with additional tasks as needed by the department
Qualifications & Experience
Minimum Diploma in Business Administration or Office Management
2-3 years of work experience in an office environment demonstrating organizational and administrative skills is required
