Rate of Pay: Payband I (Start Rate: $39.34 per hour, plus 8% in lieu of vacation and benefits)

Reporting to the Manager, Enrolment Services and Systems, the incumbent is a key member of the Registrar’s Office (RO) and is responsible for providing a combination of technical, business and operational support for the college’s enrolment systems to ensure proactive management of enrolment activities and data.
The incumbent plays a key role in the administration of the College electronic communication systems that generate communications to all applicants as they progress through the applicant cycle using various applications.
The incumbent supports the planning, evaluation and continuous improvement of enrolment services, systems and functions for the college via the development, implementation and maintenance of systems enhancements and efficiency across all RO related systems.
What you’ll be doing:
Admissions – Banner and OCAS Modules
Annual set-up and maintenance of the Banner Admissions module and all programs, as well as enrolment targets and updates through the year.
Ensuring integration of the Ontario Colleges Application Service (OCAS) file transmissions into the Banner Admissions module, by performing a series of recurring operations to transfer and process data received through the OCAS file transmission.
Setting up the Banner Admissions system with all required data to allow for accurate processing of applicant data, as well as providing OCAS with required program data for each applicant cycle.
Ensures rigorous efficiency in developing and maintaining the calendar of pre-defined business cycle events to ensure all activities including, but not limited to, set-ups, system rolls and uploads, processes, system upgrades, and internal and external hard and soft communications, occur on time, in the proper order and with absolute accuracy according to the business cycles of all concurrent terms.
Provides reports and statistics to department management of applicant and all-semester activity thereby allowing appropriate actions to take place in order to achieve the college’s enrolment plan.
Works closely with the Enrolment Services and Systems Manager, Admissions Manager, Admission Advisors and International Advisors to apprise them of system issues, communicates statuses of applicant/program activity, as well as to address specific questions from Admission Advisors with respect to applicant records. Responding to these questions may require extensive investigation into applicant records and/or results of system processes.
Communications
Responsible for the electronic communication systems that generate communications to all applicants using various applications.
Communication with applicants as they progress through the applicant cycle such as: acknowledgement of application, identification of missing requirements, offers of admissions, waitlist status and confirmations. Letters and emails are generated through Banner admissions processes run by the incumbent, or through specific population selections defined by the incumbent in the Letter Generation System or other database.
Ensures proper archiving, and statistical reporting, of correspondence sent to applicants thereby allowing reprints of correspondence as required.
System Enhancements, User Support and Training
The incumbent is a key member to college teams responsible for testing and implementing new releases of all systems that effect the Registrar’s Office.
Defining user testing requirements as well as completion of user acceptance testing to ensure system upgrades are operating properly.
Supporting development of seamless integration of enrolment activity and information from point of application through to scheduling and registration.
Developing and maintaining documentation for users.
Proactively evaluating business processes and ongoing system opportunities to determine efficiencies in support of all-semester enrolment activities.
Investigating problems and creating innovative electronic solutions.
Train staff on new screens/processes and updates to software.
Proactive Monitoring & Quality Control
Analyze needs and specifications to develop various types of reports for the Registrar’s Office or related departments.
Analyze data and business process mappings to identify gaps or changes that need to be addressed across the complete enrolment management cycle and document the solutions.
Act as a team member on various system projects targeted at improving efficiency.
Utilize IT knowledge and expertise to support the spider web of systems within the College.
Coordinates all activity related and not limited to the online exemption tool and Mohawk Applicant Status screen including assigning access levels, troubleshooting, monitoring the site and logging enhancement requests.
Prepares test scripts and performs validation tests for and not limited to the online exemption process and Mohawk Applicant status screen after upgrades are made and follows through on necessary corrections.
Ability to troubleshoot problems that arise.
Run various reports to find trends, anomalies and opportunities proactively.
Other duties as assigned.
What you’ll bring to the role:
3-year Computer Science Technology diploma or a three-year undergrad University degree in Computer Science or related field.
Minimum 3 years of related work experience, working with software applications and databases.
Well-defined communication skills to articulate technical problems and solutions.
Ability to work in Banner and become knowledgeable with upgrades, patches and versions that are implemented regularly.
Experience in a role that demonstrates a high attention to detail is critical as this role is responsible for ensuring data integrity.
Programming experience.
Proven skills in the application of computer software, especially ACCESS, Excel and the ability to interrogate databases.
In depth knowledge of the Banner forms and tables.
Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
The ability to communicate and work effectively with diverse students, employees, and communities.
