Who are you?
We are seeking a detail-oriented and highly professional to join our team as a Document Control Specialist with System Implementation Expertise. This role is for either our Calgary or Edmonton office.
Job Description
Document Management:
Design, implement, and maintain efficient document control systems to ensure organized, accessible, and secure storage. Responsibilities include indexing, archiving, and managing a centralized repository, while monitoring workflows for timely updates and policy compliance.
Compliance:
Ensure all documentation meets regulatory, industry, and internal standards. Conduct audits, identify gaps, and implement improvements. Establish robust security protocols to protect sensitive information and maintain data integrity.
Version Control:
Develop and enforce version control protocols to track revisions, maintain transparency, and ensure document accuracy. Collaborate with IT and stakeholders to enhance systems and align with organizational needs.
Collaboration:
Partner with cross-functional teams to align document workflows with business goals. Continuously assess and refine processes to support evolving needs and ensure operational efficiency.
System Implementation:
Evaluate current systems, identify inefficiencies, and lead the design and deployment of optimized document management solutions. Oversee testing to ensure scalability and seamless integration.
Training & Support:
Train staff on new systems and provide ongoing support. Monitor performance, troubleshoot issues, and implement enhancements to maximize usability and efficiency.
Reporting:
Generate regular reports on document control effectiveness, system performance, and compliance metrics. Provide actionable insights to improve processes and support strategic decision-making.
Qualifications
Proven experience in document control, system implementation, or related roles.
Strong proficiency in document management platforms (e.g., SharePoint, Aconex, OpenText, Documentum, InEight).
Solid understanding of version control, system testing, troubleshooting, and optimization techniques.
Familiarity with ISO standards and regulatory compliance frameworks.
Strong technical skills, including database integration and relevant software tools.
Excellent organizational, analytical, and problem-solving abilities.
Effective communication and collaboration skills across teams.
Experience customizing document control systems to meet business needs.
Knowledge of digital transformation strategies and secure document management practices.
Background in Real Estate, Energy, Transportation, or Infrastructure projects is an asset.
Certification in project management or system implementation methodologies is preferred.
