Temporary position for 13 months As an administrative assistant, you provide administrative support to an executive vice-president. You organize, coordinate, plan and prioritize management activities for the executive vice-president’s office. You manage your superior’s agenda and serve as a resource person for their meetings and communications. Your work involves relationships and business priorities with a high level of complexity, risk and challenge that could affect the reputation of your superior or the organization. Your confidential strategic initiatives require an in-depth understanding of the organization’s decision-making structure. You draw on your sound judgment to independently, promptly and efficiently address all requests and problems referred to the executive vice-president's office. Coordination is critical, so you frequently interact with many different stakeholders and decision-making bodies. The ability to communicate effectively and tailor your approach as needed is therefore essential. More specifically, you will be required to : Prioritize, coordinate, carry out, monitor and provide quality control for all administrative support activities for the executive vice-president's office Process and resolve requests, problems and complaints referred to the executive vice-president Advise the executive vice-president to help them plan and coordinate outreach efforts Develop contacts, gather information and ensure activities run smoothly. Establish links between initiatives as needed Advise your superior to help them manage their agenda in accordance with established timelines and priorities Receive, organize, process and follow up on your superior’s emails, calls and correspondence Plan and attend meetings. Draft reports and follow up as needed Maintain good relationships with high-level internal and external practitioners (international and governmental organizations, business leaders, directors, etc.), taking into account potential impacts on the organization's image Provide advice.
