Job Purpose:
The Membership Assistant provides crucial administrative support to the Membership department. This role serves as the first point of contact for member inquiries and is responsible for data entry, filing, and assisting with application processing. The ideal candidate is an organized, service-oriented individual with strong attention to detail and a commitment to confidentiality.
Duties and Responsibilities:
Act as the first point of contact for members by answering phone calls, responding to emails, and greeting in-person visitors with inquiries about membership.
Provide members with the necessary forms and information packages for status card applications and registration.
Assist members in filling out forms, ensuring all required information and documentation are complete before submission to the Coordinator.
Schedule appointments for members with the Membership Coordinator as needed.
Perform accurate and timely data entry to update member information in the Indian Registry and Band List.
Maintain the physical and digital filing systems for all membership records, ensuring documents are organized and secure.
Assist with preparing documents for mail-outs and distributing CIS cards to members.
Handle photocopying, scanning, and other general office duties as required.
Knowledge, Skills and Abilities Required:
High school diploma required; post-secondary certificate or diploma in Office Administration or a related field is an asset.
1-2 years of experience in a customer service or office administration role. Experience working within a First Nation government or a similar organization is highly desirable.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience with data entry.
Excellent customer service and interpersonal skills, with an ability to communicate clearly and respectfully.
Strong organizational skills and the ability to manage multiple tasks with high attention to detail.
A proven ability to handle confidential information with discretion and professionalism.
A willingness to learn about the Indian Act and the history and governance of Cold Lake First Nations.
Working Conditions and/or Physical Requirements:
Work schedule is Monday to Thursday, 8:30 am – 4:30 pm, and Friday, 8:30 am – 2:00 pm.
Work is performed in a fast-paced office environment.
Job requires repetitive movements (e.g., typing) and sitting for extended periods.
