We’re seeking a Plant Office Coordinator to support the Plant Manager and act as primary office contact for customers to help keep daily operations running efficiently. This role blends administrative, customer service, reporting, and operational support, ideal for someone who’s organized, tech-savvy, and eager to learn both the production and system sides of the business.
Responsibilities:
Serve as a key support for the Plant Manager, ensuring daily workflows and communication run smoothly.
Act as a main office point of contact for customers, handing correspondence, order updates and reporting inquiries with professionalism.
Generate and distribute customer and fleet reports (casings, repairs, rejects, scrap, pooled inventory).
Contribute to documenting and improving operational procedures to support consistency and efficiency.
Understand data flow between POS (Costar) and plant software (BTN) to support accurate and consistent processes.
Track order status and WIP flow through systems to prevent delays and improve visibility.
Maintain and review customer profiles and CAM specifications, ensuring accuracy and completion (training provided).
Support monthly stock counts, inventory ordering, and receipt tracking.
Assist with billing and administrative coverage as required.
Coordinate production reporting and assist with tracking key metrics to support decision-making.
Support purchasing and vendor coordination, including supply orders and invoice reconciliation.
Maintain and update standard operating procedures, forms, and internal documentation.
Take initiative to identify gaps, recommend process improvements, and streamline office and plant functions.
Qualifications
2+ years of administrative or coordination experience, ideally in a manufacturing or production environment.
Strong organizational and multitasking skills with exceptional attention to detail.
Proficient in Microsoft Office (Word, Excel, Outlook); comfortable learning new systems.
Clear, professional communication skills and a collaborative attitude.
Ability to manage competing priorities with minimal supervision.
Experience with billing, invoicing, or accounting support is an asset.
