JOB PURPOSE
Under the supervision of the Director, Student Affairs, the Campus Support Administrator will ensure the efficient and effective operations of the Brantford Campus main office in accordance with established policies and procedures. The Campus Support Administrator will be responsible for creating a welcoming, safe, and healthy space for staff, students, visitors, and stakeholders. The Campus Support Administrator is required to perform all duties consistent with the governance values and operating policies of Six Nations Polytechnic (SNP) while fostering positive relations with staff, students, stakeholders, and the community; contributing to a culturally supportive teaching, learning and work environment consistent with Hodinǫshǫ:nih/Rotinonhson:ni values of Ga’nigohi:yo:/Kanikoriio (Respect and the Good Mind).
KEY ACCOUNTABILITIES
Student Experience Coordination 40 %
Responding to student enquiries about programs, admission process;
Keeping active record of how students are able to contact staff when working remotely;
Maintaining confidentiality of information, documentation and files;
Processing invoices and expense claims as requested;
Supporting student accommodation process in collaboration with the Accessibility Advisor;
Advocating for all students and support those with issues or concerns on an on-going basis;
Participating in maintaining and environment conducive to learning and working at Six Nations Polytechnic;
Providing direction for student enquires;
Knowing and understanding the organization chart, staff directory, all staff functions, the institution website, and key dates;
Keeping students informed of deadlines and upcoming events;
Direct students to academic advisors, counseling services, IT support, or other specialized departments;
Other related duties, as required;
Campus Support 20%
Ensure a positive and professional experience for all students and stakeholders;
Supporting operations and food service provider with communication via email to the DL's, posting to tv's, posting signage, updating security;
Daily mail retrieval and distribution;
Ensuring campus bulletin boards and related information such as evacuation routes and fire drill data are maintained and up to date;
Stocking the boardroom and staff room with supplies;
Troubleshoot basic office equipment issues (printers, copiers, phones)
Liaise with IT support for technical problems.
Other related duties, as required
General Administration 20%
Providing reception functions that include greeting visitors, responding, and redirecting inquiries based on established policies and procedures;
Providing administrative fill-in and support functions to the Office Administrator, as required;
Assist in compiling term and exam schedule, including notification and signage for exams
Coordinate sign outs for van keys, emergency pendants and AV remotes;
Prepare reports or feedback for Student Affairs or related departments;
Other related duties, as required;
Program Support 15%
Maintaining Outlook Calendars for Student Affairs Team and booking Student appointments as necessary;
Email communication to staff and students on behalf of SAS;
Keeping record of staff calendars;
Help organize and facilitate campus events, workshops, and cultural activities;
Other related duties, as required;
EDUCATIONAL KNOWLEDGE
Completion of a formal post-secondary diploma or certificate in business, administration, or a related field.
EXPERIENTIAL KNOWLEDGE / CULTURE AND LANGUAGE EXPERTISE
1 to 3 years customer support and/or office administration experience.
Experience working in an education setting is considered an asset.
Criminal Record Check
The successful candidate will be required to provide an original Criminal Background Check – Vulnerable Sector Screening that is satisfactory to Six Nations Polytechnic (SNP) prior to the first day of work at Six Nations Polytechnic, and an Offence Declaration that is satisfactory to SNP by their first day of employment at Six Nations Polytechnic.
