Job Title: Executive Assistant - short term 4 week vacation coverage
Job Description
The Executive Assistant provides high-level administrative support to a senior leader or executive, ensuring their day-to-day operations run smoothly. This role involves managing schedules, communication, and logistics, while acting as a strategic partner in prioritizing tasks and enhancing productivity.
Responsibilities
Manage complex calendars, schedule meetings, and coordinate logistics.
Act as a primary point of contact for internal and external stakeholders.
Prepare and edit correspondence, reports, and presentations.
Handle confidential information with discretion and professionalism.
Coordinate expenses and approvals.
Track action items, deadlines, and follow-ups to ensure accountability.
Maintain organized document and email filing systems.
Anticipate the executive's needs and proactively resolve issues.
Essential Skills
3+ years of experience in a similar role.
Strong organizational and calendar management skills.
Excellent written and verbal communication.
Proficiency with MS Office (Outlook, Word, Excel, PowerPoint) and virtual meeting tools.
Experience with expense reporting, travel coordination, and document management.
Additional Skills & Qualifications
Preferred experience in a legal setting.
Experience in the medical sector is a plus.
Discreet, professional, and able to handle confidential information.
Strong judgment and ability to prioritize in a fast-paced environment.
Detail-oriented with the ability to manage tasks effectively.
Work Environment
This role offers a hybrid work environment with the flexibility to work from home four days a week and one day in the office. The professional office is located at Sapperton HQ and operates Monday to Friday, 8 AM to 4 PM. On occasion, you may be required to work in the office more than one day a week if the schedule demands. The dress code is business casual. The office typically closes at 2 PM on December 24th and remains closed on the 25th and 26th.
