We are looking for an exceptionally organized and proactive Executive Assistant
to support three Directors within our organization. In this role, you will be
the operational backbone that enables our leaders to scale their impact and
drive key initiatives. You will do more than just manage schedules and
logistics; you are a force multiplier who anticipates challenges, streamlines
complex processes, and acts as a central point of communication for a fast-paced
global team.
Your work will directly contribute to the success of a team shaping the future
of the cloud.
You will masterfully navigate competing priorities, manage intricate calendars
for three executives across multiple time zones, and coordinate high-impact team
activities.

This role is based in Toronto, ON, CAN and requires five (5) days a week in
office.
Key job responsibilities
• Proactively coordinate and engage with leadership in planning and organizing
events, activities and calendars
• Management of multiple complex calendars and scheduling requirements
• Acting as a liaison for direct reports
• Driving key team activities (such as staff meeting agendas, all-hands
meetings, supply ordering)
• Tracking and helping drive completion of key deliverables and following up on
items
• Travel coordination for executives
• Participating in planning of events
• Having fun at work and helping others do the same
• This position will work with other assistants throughout the Database Services
and across the rest of the company
A day in the life
Working in a highly ambiguous environment, you will demonstrate initiative,
complete tasks and projects quickly, and proactively take action without having
to know the total picture. You will learn organizational structures and
objectives of the teams you support, as well as build a strong internal network.
You will apply a superior attention to detail, great organizational skills, and
the ability to meet tight deadlines and juggle multiple critical requests while
maintaining flexibility, a sense of humor, and most importantly, grace under
pressure. Over time, you will build deep and trusting professional relationships
with the leaders and their teams, which will blossom into strong partnerships
that provide opportunity for special projects with increased responsibility and
long-term career growth.

- Experience with executive level calendar management
- Experience with domestic or international travel coordination
- Experience handling administrative details independently, while exercising
good judgment in keeping team members adequately informed Preferred
Qualifications: - 7+ years of executive assistant experience
- Experience working with large global teams
- Experience with end-to-end project management
- Experience leading process improvements
- Experience with work space planning/management
