Catholic Social Services is currently seeking a contract full-time, 40 hours per week, Program Assistant in EDMONTON to join our Collaborative Service Delivery team. This position’s schedule: Monday to Friday, 8:30am – 5:00pm. This contract will end on June 31, 2027.
Job Summary:
The Program Assistant assists the Collaborative Service Delivery (CSD) program with the related administrative responsibilities in accordance with the Agency's philosophy, goals, and objectives. The position includes significant attention to detail around a large volume of financial data and analyzing said data. The position also requires navigating internal and external stakeholders.
Key responsibilities:
Assists in the day-to-day administration of the CSD program
Completes accounting tasks: accounts receivable, accounts payable, invoicing
Analyzes invoices and emails from multiple sources to determine appropriate financial coding and if the amounts are within budget allocations
Assists in preparing statistics: monthly/yearly CSD statistics required by Agency and Alberta Children's Services
Provides information on statistics, program resources, or inventory based on contract requirements
Understands, supports, promotes, and adheres to the Agency’s vision, mission, values, and organizational ethics, and treat all persons with humility, compassion, and respect
Presents as a positive and professional role model and ambassador for the Agency in interactions with clients, stakeholders, and the public. Maintains respectful personal boundaries
Communicates effectively and respectfully in a professional and confidential manner with all Agency employees, and internal and external stakeholders
Ensures appropriate and confidential handling and storage of client/Agency information and documentation in accordance with Agency policies and procedures
Problem solving concerns around vendor and internal systems that are causing possible loss of services for families and vendors
Completes and submits monthly documentation as per standard procedures on or before assigned due dates, such as employee month-end progress report, mileage, cheque requisitions, etc.
Attends and actively participates in scheduled team meetings. Supports team initiatives and helps to identify problems and suggest solutions
Attends and actively participates in committees as designated
Attends/takes/prepares minutes for team meetings as designated
Attends and participates in individual supervision, minimally once per month
Attends mandatory training as required
Monitors stationary supplies and reorders as required
Monitors, orders, tracks and prepares Bus tickets, gift cards, mobile phones for clients and phone minutes
Organizing, assigning and maintain program vehicle, car seats and car seat room and family time room as designated.
Performs other related duties as required
What This Job Requires:
Business Administration Diploma/Certificate or equivalent is preferred.
Demonstrated proficiency with technology and various programs, including Microsoft Office suite especially Excel and Pivot Tables as well as being able to create Statistical Reports and databases
Minimum of 1 years’ professional experience in Administration
A high degree of attention to detail, accountability, and accuracy
Competent in understanding and working with Accounts payable and receivable applications with a working knowledge of budgets
Skills and Abilities:

Excellent planning, organizational, and time management skills
Demonstrated awareness and sensitivity towards those with diverse needs

What We Offer:
The salary for this position is $44,286.48 to $49,819.68 based on qualifications and experience.
