GENERAL SUMMARY:
Under the supervision of the Plant Manager, the Administrative Assistant provides administrative, logistical, and operational support to the management team. The selected candidate ensures effective communication between sites, maintains administrative records, and supports compliance with internal procedures. This person serves as a liaison between production sites, internal departments, and external partners, a playing a key role in supporting and maintaining the smooth flow of daily activities.
ESSENTIAL JOB FUNCTIONS:
Manage internal and external communications for plant operations (emails, calls, follow-up requests).
Prepare, review, and distribute administrative documents (forms, reports, correspondence, procedures, etc.).
Maintain up-to-date calendars, deadlines, and performance dashboards.
Participate in team meetings, prepare minutes, and ensure follow-up on action items.
Assist with coordination and documentation of continuous improvement initiatives.
Collaborate with plant leadership and cross-functional teams to streamline administrative workflows.
KNOWLEDGE, SKILLS AND ABILITIES:
Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams).
Experience with management systems (e.g. Business Central, Geotab) and databases.
Basic knowledge of accounting (purchase orders, budget tracking, etc.).
Excellent organization skills and attention to detail.
Strong sense of priorities and ability to manage multiple tasks simultaneously.
Discretion, professionalism, and team spirit.
EDUCATION AND EXPERIENCE:
Diploma in office administration, business administration, or a related field.
3 to 5 years of experience in an administrative role (experience in an industrial or agricultural environment is an assets).
Good understanding of operational processes.
WORK ENVIRONMENT:
Permanent full-time position (40 hours/week).
