About the Role
Provides administrative, secretarial and communication support to the Annual Giving department in Advancement and Alumni Engagement. Organizes team meetings and appointments, and recruitment and training meetings in the Student Engagement Centre (old Call Centre). Maintains student caller on-boarding paperwork, employee schedule and payroll records. Reconciles nightly and weekly reports, and provides weekly reports to Manager, Annual Giving. Maintains communications by organizing, implementing, and responding to inquiries and invitations from prospects/donors. Maintains database and filing system, and works extensively with multiple software programs (Blackbaud CRM, VanillaSoft, ThankView, and Engaging Networks). Assists with composing promotional documents, presentations, and proposals. Provides the arrangement and implementation of special events/functions. Acts in the role of department liaison with Donations Processing, Records and Payroll teams.

Qualifications
High-school graduation and two years of post-secondary education or formal certificate/diploma program equivalent in office practices, business administration or fundraising. 4 years of experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.
Good knowledge of call centre operation.
Good knowledge of fundraising constituent record management systems with a preference for proficiency in Blackbaud CRM.
Good knowledge of calling software with a preference given to VanillaSoft.
Ability to use word processing, database, spreadsheet, web and communication applications (i.e.,Word, Excel) at an intermediate level.
Ability to work independently and as part of team in a fast-paced environment with many deadlines.

The assignment end date is May 12, 2026.
This position supports the Annual Giving Student Engagement Centre and will need to be on-site and working during active calling shifts.
