About your next Challenge as a Administrative Coordinator, Operations Support:
The Administrative Coordinator, Operations Support will play a central role within the operations department. Your main responsibility will be to provide administrative support to ensure the daily operations of the department.
What will you do:
Provide administrative support to operational managers and employees in the site;
Create different presentations in Powerpoint;
Write letters, memos, e-mails;
Create Excel tables, compile reports, data analysis;
Review and maintain the department's filing system;
Create service orders;
Assist in the creation of new personnel requisitions;
Deliver mail;
Coordinate trips and make different bookings;
Prepare expense accounts;
Prepare the arrival of new employees;
New employee access and hangars access;
Various computer and maintenance requests;
Process orders for different types of office supplies and printer cartridges;
Participate in and monitor the department’s budget and indirect hours;
Write, review, layout processes and procedures related to operations;
Update the dashboards;
Support the team of operations managers and make recommendations to improve work methods and tools in order to improve efficiency;
Make timesheet adjustments.
Required Skills and Experiences:
High school diploma or equivalent with a minimum of six (6) years of experience in a similar position or;
Professional studies diploma or College diploma in Administration and management techniques or similar with a minimum of 2 years of experience in a similar position;
Five (5) years of experience in a similar position;
Bilingual (French and English) both written and oral.
Advanced knowledge of the MS Office suite (Word, Excel, Powerpoint);
Basic knowledge of accounting;
Knowledge of SAP or any other Enterprise Resource Planning (ERP) systems is an asset;
Knowledge of MS-Project, an asset;
Knowledge of Visio an asset.
Eligibility Criteria (Mandatory):
Must be eligible for registration with the Controlled Goods Program;
Must be eligible to obtain and maintain a government of Canada “Reliability” status and Level 2 (Secret) security clearance.
Must be eligible to meet the requirements for U.S. International Traffic in Arms Regulations (ITAR).
