The Administrative Assistant to the Program Directors is a senior level administrative assistant role with responsibility for providing support to two Directors within the Women’s & Children’s Health portfolio. This role works in close collaboration with a dynamic leadership and administrative team in a fast-paced environment, with opportunities to engage in a wide variety of exciting projects and initiatives as part of the core responsibilities of the position.
- Graduate of Community College Business Secretarial Program and/or QAA certification or equivalent
- Minimum 4-5 years current administrative support experience at an advanced level
- Medical Terminology
- Proficient keyboarding skills (60 wpm)
- Excellent computer skills in a variety of applications including: Windows, MS Outlook, MS Word, MS Access, MS PowerPoint, MS Excel, myHR and Management Resource Tool, Taleo, and in addition, website skills for site communication
- Demonstrated excellence in effective communication (written and verbal), and interpersonal skills
- Demonstrated ability to appreciate confidential nature of position
- Demonstrated ability to work effectively in a team environment
- Ability to work independently demonstrating initiative, organization and establishment of priorities
- Demonstrated ability to meet project and task deadlines, including the tracking of incomplete program work
- Demonstrated scheduling experience, including skills to re-prioritize a full Director's schedule in a fast-paced intensive workload administrative environment
- Excellent transcription and minute-taking abilities and ability to draft memos, letters and agendas for the Director's review
- Demonstrated ability to develop systems that create efficient workflow with attention to detail
- Demonstrated ability to work effectively and collaboratively with various hospital departments and regional stakeholders
- Demonstrated ability to triage calls and problem-solve in the absence of the Director and maintain a professional demeanor for an advanced level position
- Capital planning and budget development/management skills, including budget report analysis skills and Excel spreadsheeting using formulas
- Coordinate activities of other secretarial program staff to support program/site initiatives
- Demonstrated activities to support continuous learning
