Job Description What you will do: Reporting to the Client Business Manager and working in collaboration with the Operations Manager, schedules the day-to-day subcontractor activities and assists with administrative activities. Responsible for processing and administering work order requests, managing subcontractors, small projects, and ensuring the Computerized Maintenance Management Systems (CMMS) are up to date and accurate. Follows up as needed to ensure customer satisfaction. How you will do it: · Receives written and electronic customer work requests, and verifies completeness of all entries. · Communicate with site staff to determine the total scope of work and priority of the work to be performed. Follow up with site staff as to the status of the work order until completion. · Administers the preventative maintenance tracking and documentation programs, assigns and distributes the work to the appropriate subcontractor. · Identifies resources and materials required to execute the requested work. May verify the availability of those resources prior to scheduling the work or arrange for appropriate alternatives. Will be creating POs to procure materials and/or contractors. · Acts as a contact/liaison between O&M, subcontractors and the requesting department for the planning and scheduling of work. · Generates and provides management reports on topics tracked such as overtime, work backlog, equipment repair history and cost, trouble calls, work orders, and customer satisfaction as required. · Will be responsible for coordinating with the facility maintenance management in producing the monthly Periodic Monitoring and Payment Adjustment reports. · Attends daily/weekly meetings with facility maintenance management to develop the next day/week’s schedule, reviews the status of scheduled work orders, and discusses new, incoming work orders. · Submits written notifications, permissions to work, to departments to coordinate upcoming shutdowns and or disruptive maintenance. · Utilizes computerized maintenance management system to manage work order history and track job status and repair costs. · Assists with coordination and recommendation of the use of outside services when outside labor is required to execute jobs. · May identify opportunities to improve process, planning, or performance through analysis of work order flow, project demands, and expectations. · May review utilization and cost data to recommend corrective actions to reduce costs. What we look for Required · High School or equivalent and three to five years of progressive experience in scheduling/planning activities. · Knowledge of building trades, property management, craft skills, and engineering or comparable industry experience desired. · May need to demonstrate a working knowledge of regulatory code requirements for related fields (i.e. OHSA, EPA). · Must have excellent verbal and written communication skills. · Must have good organizational skills. · Knowledge of project management methodologies is an asset. · Must know blueprints and utilization of PC-based systems. · Familiarity with an automated maintenance management system is a plus. · Must be a team player committed to working in a quality environment. · Performs all work under established safety procedures. · Complies with all company policies and procedures and adheres to company standards. · Performs other duties as required. HIRING HOURLY RANGE: $27.40- $34.61(Hourly rate to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
