Our client in Toronto Ontario who is a large food manufacturer is looking for an Executive Assistant to join their team!
This position features:
Salary: $70,000/year-$80,000/year based on experience

Key Responsibilities:
-Efficiently screen emails, calls, and other communications.
-Excel at managing tasks and maintain a system to track requests, collaborate with appropriate team members, and follow up to ensure completion.
-Assist with researching cost-saving options, negotiating contracts, and coordinating with relevant departments to implement savings measures.
-Manage calendars and schedules, ensuring that the CEO's time is optimized for high-priority tasks and strategic activities.
-Coordinate meetings and events, manage invitations and RSVPs, and handle logistics to ensure networking opportunities with key stakeholders are maximized.
-Review the CEO's schedule and commitments, identify opportunities to reduce or optimize in-person engagements, and assist in coordinating virtual alternatives or delegating tasks as needed.
-Assist with basic inventory tracking and management, ensuring that resources are effectively utilized and replenished as needed.
-Manage the day-to-day operations of the office of the CEO, conduct operational planning, manage executive communication, monitor deadlines, and guard the CEO's time.
-Draft, organize, maintain, and distribute information such as meeting notes, agenda, documentation, and reports.
-Prepare, review, proofread, and edit presentations and documents as necessary.
-Research topics (places, products, and strategies) and summarize data as needed.
-Train new staff on the executive team.
-Diligently manage expenses for CEO and work closely with Accounting to ensure approvals and invoices are paid in a timely manner.
-Bridge office and household scheduling, being a central link of information and coordination between household and office team.
-Coordinate business travel for CEO and others.
-Update and maintain electronic files and project documents and complete a variety of special projects as assigned by the CEO.
-Anticipate future tasks and needs and prepare accordingly. Maintain an ongoing task list for CEO.
Qualifications:
-Minimum 5 years in a high-level Executive assistant/personal assistant support.
-Excellent leadership and organizational skills, with the ability to prioritize tasks and manage multiple tasks simultaneously.
-Capable of delivering accurate results in a fast-paced and dynamic atmosphere.
-Strong attention to detail and ability to work independently as well as in teams.
-Excellent communications skills, both verbal and written in English
-Expert in MS Office (PowerPoint, Excel, Word, etc.)
-Travel mgmt. exp
