Job Title: Warranty Coordinator

Hours: 40 hours per week: Monday to Friday 7:00am – 3:30pm
This role plays a critical part in the product and parts supply channel, ensuring the effective processing and control of warranty and part returns through the Warranty Department on behalf of Service Patches. Key responsibilities include coordinating part returns from FSL locations across Ontario, as well as processing and managing claims with vendors and manufacturers to secure warranty and vendor credits. The position requires strong organizational skills, attention to detail, and the ability to work collaboratively across both office and warehouse environments.
Flexibility Clause With a minimum of two weeks’ notice, the business may request a change to the employee’s shift if operational needs require it. Any such change will only occur within the hours of 7:00 a.m. to 7:00 p.m. and will not be permanent.
Responsibilities:
Screen, qualify, and submit daily warranty and labor claims to vendors through Clarify or manufacturer portals.
Analyze, qualify, and submit extended warranty and labor claims to Service Net (AIG) for payment processing.
Prepare monthly tank warranty reports for vendors and Finance, and invoice vendors accordingly.
Prepare and distribute weekly claim and labor reports to vendors to ensure timely payments.
Prepare and distribute monthly claim reports to Service Net.
Reconcile Service Net claims and update systems with payments received for extended warranty claims.
Reconcile and update tank reports per vendor to reflect credits received for rental water heater claims.
Reconcile claims and update systems with credits for standard claims (Clarify) and (VCMs) in GERS.
Collaborate with Accounts Payable/Receivables to reconcile and process payments, ensuring accuracy and timely resolution.
Coordinate and process VCMs for HVAC unit claims.
Monitor and resolve outstanding claims and VCMs to secure credits from vendors on schedule.
Review FSL warranty and new parts return lists weekly; prepare and submit VCMs to vendors for payments.
Manage parts drop-off at High Meadow, including sorting, scrapping, and shipping back to vendors.
Assist and respond to communications sent to Warranty mailbox from internal teams and external customers.
Register warranties for all units to ensure proper documentation and coverage.
Qualifications:
Grade 12 education or equivalent.
Proficiency in computer systems including Clarify, GERS, and Microsoft Excel.
Strong analytical skills with attention to detail and accuracy.
Solid understanding of warehouse operations and related processes.
Excellent interpersonal skills with a collaborative, results-driven mindset.
Effective verbal and written communication abilities.
Proven ability to work well in a team-oriented environment.
Physical capability to lift up to 80 lbs.
Commitment to safety standards, including wearing safety shoes in warehouse environments.
Valid Forklift License or willingness to complete training and certification as required.
Ability to thrive in fast-paced, high-pressure environments.
Flexibility to work in both office and warehouse settings.
