Position Summary
The Director, Property Management is a senior leadership role responsible for overseeing and optimizing the performance of the company’s commercial and residential property portfolio. This position involves strategic planning, financial management, and operational oversight of property management, leasing, and tenant relations and will collaborate closely with senior leaders to ensure the company’s growth, revenue, and asset value objectives are met. The Director will be instrumental in setting long-term goals, identifying opportunities for growth, and maintaining the quality of both commercial and residential properties.
Key Responsibilities
- Strategic Leadership & Portfolio Management:
- Lead the strategic direction of the company’s asset portfolio, ensuring it aligns with company and, where applicable, co-owner objectives and market trends.
- Oversee the long-term planning and performance of commercial and residential assets, including leasing strategies and capital improvements.
- Drive initiatives to maximize asset value and profitability, including rent optimization, tenant retention, and cost reduction strategies.
- Monitor and report on the financial performance of assets, providing recommendations for improvements.
- Property Management Oversight:
- Manage the day-to-day operations of the commercial and residential portfolio, including property maintenance, tenant satisfaction, and vendor management.
- Ensure compliance with all relevant local, provincial, and federal regulations, particularly within the BC real estate market.
- Establish operational guidelines for property management and ensure adherence to service standards across all assets.
- Manage the opening and initial occupancy of tenants of newly constructed / completed properties.
- Support due diligence related to property acquisitions and dispositions.
- Leasing Strategy & Tenant Relations:
- Lead leasing activities, including negotiations, renewals, and tenant relations for commercial properties.
- Working collaboratively with the Director Revenue, support leasing activities, including negotiations, renewals, and tenant relations for residential properties.
- Develop leasing strategies to ensure high occupancy rates and market-competitive rental rates.
- Maintain and strengthen relationships with key tenants, ensuring tenant satisfaction and retention.
- Team Leadership & Development:
- Manage, mentor, and develop the team of property managers.
- Foster a high-performance culture within the department, providing ongoing coaching and training.
- Provide leadership in the recruitment and performance management of staff.
- Financial & Budget Management:
- Develop and manage annual budgets for properties, ensuring financial performance aligns with forecasts.
- Review and analyze financial reports, including income statements, balance sheets, and cash flow statements.
- Manage capital expenditures and operating costs effectively and in accordance with approved annual property budgets. Obtain owner approvals for extraordinary spending, and as required under Property Management Agreements.
- Risk Management & Compliance:
- Ensure that all properties meet legal and safety standards, including risk assessments, insurance coverage, and environmental regulations.
- Mitigate risks related to property performance, legal matters, and financial forecasting.
- Oversee all property-related contracts, including leasing agreements, maintenance contracts, and vendor agreements.
- Stakeholder Communication & Reporting:
- Provide regular reports to the property owner, co-owners where applicable, and Executives on portfolio performance, asset strategies, and financial health.
- Balance the needs of project partners/co-owners with the overarching need to act in the best interest of Townline at all times.
- Build and maintain strong relationships with external stakeholders such as co-owners, suppliers / service providers, and government agencies. Collaborate effectively with internal stakeholders including Construction, Development, Sales and Marketing, Finance and Accounting.
Qualifications
- Education: Bachelor’s degree in Business, Real Estate, Finance, or a related field; MBA or relevant graduate degree preferred.
- Experience: Minimum 10 years of progressive experience in asset management, property management, or real estate, including at least 5 years in a senior leadership capacity.
- Broker’s license is considered an asset.
- Proven success overseeing large commercial and residential property portfolios, including acquisitions, dispositions, leasing, and capital improvements.
- Strong strategic planning and financial management abilities, with demonstrated experience in budgeting, financial analysis, and driving profitability.
- Comprehensive knowledge of local, provincial, and federal regulations governing real estate and property management, with particular expertise in the BC market.
- Demonstrated leadership skills, with experience mentoring and developing high-performing teams.
- Excellent negotiation, communication, and relationship management skills, including managing key tenant and stakeholder relationships.
- Experience in risk management, compliance, and contract administration.
- High level of integrity, professionalism, and commitment to acting in the best interests of Townline and its partners.
Working Conditions
This role is primarily office-based with regular travel across our portfolio in the Vancouver Lower Mainland and Vancouver Island. Occasional evenings or weekends may be required for industry events, tenant functions, or operational needs.
