About the Executive & Operations Coordinator:
This is a key role for VFC: perfect for someone who’s energized by keeping leaders organized, loves creating smooth operational systems, and takes pride in supporting people and processes to work at their best. You’ll serve as a central partner to VFC’s CEO — managing schedules, preparing briefings, coordinating communications, and ensuring day-to-day priorities stay on track with professionalism and discretion. You’ll also help keep the organization running smoothly by supporting office coordination, administrative workflows, internal communications, and continuous improvements to operational processes. And as a key contributor to People Operations, you’ll help coordinate recruitment logistics, maintain HR records, and assist with onboarding and offboarding to ensure candidates and staff have a thoughtful, welcoming experience at every stage.
Role Responsibilities:
CEO Executive Support
Manage the CEO’s schedule, meetings, travel logistics, and daily priorities.
Prepare briefing materials, track follow-ups, and ensure the CEO is prepared for engagements.
Draft, edit, or coordinate communications on behalf of the CEO to internal and external stakeholders.
Maintain confidentiality and consistently exercise sound judgment.
Organizational Operations & Administration
Help keep operations running smoothly — from office coordination to systems upkeep.
Handle essential administrative tasks, mail handling, supplies, purchasing, and occasional errands.
Support team-wide meetings, internal communications, and organizational logistics.
Improve processes and contribute to operational best practices across VFC.
Recruitment & Talent Coordination
Coordinate recruitment logistics such as interview scheduling, posting jobs, and communicating with candidates.
Support initial screening steps or reference checks as required while promoting a positive and inclusive candidate experience;
Maintain and update People Operations records and tools such as the HRIS
Assist with onboarding and offboarding logistics in collaboration with the People Operations team.
Job Requirements:
2+ years of administrative or executive support experience, ideally in a nonprofit, startup, or similarly dynamic setting.
Exceptional organization, attention to detail, and ability to manage multiple priorities with calm and clarity.
Strong written and verbal communication skills; able to prepare polished, professional materials.
Proficiency with Google Workspace, Slack, Zoom, and administrative systems.
Ability to maintain confidentiality and navigate sensitive information with discretion.
Service-oriented, proactive, and relationship-focused — comfortable supporting colleagues at all levels.
Experience with recruitment coordination is an asset but not required.
Must be legally authorized to work in Canada.
