Position Overview
We are seeking a highly organized and detail-oriented Administrator to support our restoration branch. This role is central to daily operations and requires a versatile, can-do approach, combining office administration, customer communication, claims processing, financial tasks, and project coordination. The Administrator will handle customer inquiries, enter new claims, update project milestones in internal systems, assist Project Managers with subcontractor quotes, and maintain accurate records in compliance with BELFOR policies.
This role also includes entering payables, submitting timesheets, performing collections follow-up, generating leads, creating job numbers, and supporting other branch operations as needed.
The ideal candidate is proactive, professional, and thrives in a fast-paced environment where accuracy, adaptability, and clear communication are essential.
What You’ll Do:
- Answer and direct incoming calls; provide excellent customer service
- Enter new claims in Encircle and the internal BELFOR Compliance System
- Update job milestones and track progress in internal systems.
- Assist Project Managers by obtaining and organizing subcontractor quotes.
- Enter and process payables; support timesheet submission and accuracy.
- Perform collections follow-up as required and support lead generation efforts.
- Generate job numbers and maintain organized documentation.
- Support general office operations and branch coordination.
- Prepare invoicing files and verify insurance details and supporting documents.
- Maintain accurate records, documentation, and compliance files.
- Perform any other reasonable duties as assigned.
What You Bring:
- High School Diploma/GED.
- Strong administrative and organizational skills.
- Excellent communication and attention to detail.
- Ability to multitask and thrive in a fast-paced, dynamic environment.
- Proficient with Microsoft Office and Google Suite.
- Customer service experience preferred.
- Experience in restoration, construction, or insurance is an asset.
Working Conditions
- Due to the nature of our business, this position will work normal business hours but may be required to work in the evenings, on-call, or outside normal working hours;
- Manual dexterity for keyboarding, repetitive tasks, and prolonged periods of computer use, demanding attention to detail and high levels of accuracy; and
- Periodic travel may be required.
